Signs & Labels Hereford Ltd has grown from humble beginnings into one of the region's leading suppliers of signage and visual communication. We're a family-run business with a team of 15, delivering high-quality signage, vehicle graphics, and bespoke solutions across Herefordshire and beyond. We care about what we do and how we do it. Our customers come back to us because they trust both the quality of our work and the way we look after them, something we take real pride in as a team. At the heart of everything we do are our three core values: Challenge, Care, and Create. We see challenges as opportunities to improve, we prioritise a supportive environment where our team, customers, and community feel valued, and we embrace new ideas and technology to deliver forward-thinking, high-quality solutions. We're a close-knit team where everyone plays an important role in how the business runs day to day.

THE ROLE

This is a brand-new role created to make sure every customer enquiry is handled promptly, professionally, and with genuine care. You’ll be the first voice customers hear when they get in touch - by phone, email, or online - and your job is to make sure nothing falls through the cracks. That means gathering the right information, keeping our systems accurate, and making sure customers always know where things stand. This isn't a behind-the-scenes role. We believe in picking up the phone. If a quick call saves three emails, we make the call. If you're someone who naturally enjoys speaking to people, you'll fit right in.

WHAT YOU'LL BE DOING

  • Being the first point of contact
  • Answering incoming enquiries by phone, email, and online promptly and professionally
  • Gathering clear, accurate briefs from customers so jobs can be quoted and progressed without delays
  • Building genuine relationships with customers so they feel looked after, not processed
  • Picking up the phone when a conversation is quicker than an email
  • Keeping the admin tight
  • Logging all enquiries and jobs accurately in our MIS/CRM system
  • Sending order confirmations and keeping job records up to date
  • Coordinating artwork requirements and chasing missing information from customers
  • Keeping customers updated throughout their job so they're never left wondering
  • Supporting the wider team
  • Flagging quotes and jobs that need attention or have stalled
  • Coordinating with operations around lead times and job progress
  • Reducing back-and-forth by getting the right information first time
  • Supporting the Directors with day-to-day admin as needed

WHAT WE'RE LOOKING FOR

  • A warm, confident communicator who genuinely enjoys talking to people
  • Someone who picks up the phone naturally rather than defaulting to email
  • Highly organised, with the ability to manage multiple enquiries and priorities at once
  • Calm under pressure and able to keep on top of things when it's busy
  • Strong attention to detail - takes pride in keeping records accurate
  • Comfortable working across multiple systems and happy to learn new software
  • A team player who wants to be part of something and takes ownership of their area
  • Reliable and conscientious - someone the team and customers can count on

WHAT THIS ROLE IS

  • The friendly, organised face of our customer communications
  • A central role that connects customers to the rest of the business
  • Focused on relationships, accuracy, and keeping things moving
  • A cornerstone position that requires a long-term commitment

WHAT THIS ROLE IS NOT

  • A position that requires signage industry experience (we'll teach you everything you need to know)

WHY THIS ROLE MATTERS

When this role works well, every customer feels looked after, every job gets off to a clean start, and the focus can be on growing the business. You'll be a key part of this growth journey and how we deliver the service our customers come back for.
