Part-time role working 22.5 hours a week, Monday, Tuesday and Wednesday. We’re looking for a highly organised and detail-driven Sample Room Administrator to join our wider buying team at Croxley Park. This part-time role keeps our product journey running smoothly, ensuring every jewellery sample is carefully managed, tracked and handled with the precision and care our brands are known for.
Responsibilities
- Coordinate with courier companies to support cost-effective delivery and collection of jewellery samples.
- Accurately package, log and dispatch samples back to vendors using the correct equipment and tracking processes.
- Ensure all samples are returned to the sample room within agreed timescales through effective communication and follow-up.
- Apply correct customs procedures to avoid delays or issues with samples reaching suppliers.
- Receive, tag and display samples accurately as they arrive into the sample room.
- Maintain accurate tracking records and spreadsheets to ensure visibility of all samples at all times.
- Produce sample status reports by buyer and supplier when required, including covering for the Sample Room Supervisor when necessary.
- Communicate effectively with internal stakeholders, particularly buying and marketing teams, providing timely and accurate information to support their work.
- Liaise confidently with external contacts including vendors, suppliers and courier companies.
- Develop a strong working knowledge of existing systems and support the implementation of new systems where required.
- Continually review current processes and make recommendations for improvements.
- Ensure all general sample room administration is kept accurate and up to date.
Qualifications
- Self-motivated with a proactive, can-do attitude.
- High level of computer literacy and confidence using spreadsheets and systems.
- Comfortable working to established routines and processes.
- Strong attention to detail with a systematic approach to work.
- Trustworthy and reliable, with the ability to manage valuable products.
