Signature Recruitment is seeking an Executive Assistant Coordinator to join a respected professional publishing organisation. This permanent, part time role is based in London and offers a salary of £27,000-£31,000 PRO RATA. You will work four days per week, with Tuesday as an essential working day. The position offers hybrid working and an immediate start for the right candidate.

You will join a small, collaborative Administration team within a well-established not-for-profit knowledge organisation. Working closely with the Administration Manager, you will provide support across the wider Publishing team while developing into dedicated executive support for the Managing Director. This is a great opportunity for someone with strong administration and executive support experience who is ready to take on greater responsibility. You will gain exposure to senior stakeholders, varied business activities and high-level diary management. The hybrid working pattern also offers flexibility and a positive work-life balance.

Key Responsibilities:

  • Manage diaries, inboxes, meetings and changing priorities
  • Coordinate travel arrangements, meeting papers and follow-up actions
  • Draft correspondence, process contracts and reconcile credit card expenditure
  • Prepare professional meeting minutes and maintain accurate records
  • Research and collate information for senior colleagues and wider teams
  • Support effective administrative procedures, systems and GDPR-compliant records

  • Previous administration or executive support experience in a busy environment
  • Strong organisation, diary management and prioritisation skills
