Our client is looking to add an excellent Office Manager to their small growing business based near the centre in Bristol. They are a specialist construction services company with contracts across the South West and London, with a reputation for quality, reliability, and innovation. This is a key role that supports the entire business, ensuring smooth operations, robust systems, and a high-performing administrative function.

About the Role

Reporting to the Managing Director and Senior Operations Managers, the Office Manager will lead a small administration team and oversee a wide range of responsibilities including HR support, document control, IT coordination, QA and compliance, and general office management. You’ll be instrumental in developing and maintaining efficient systems and processes that support our operational excellence.

Office Manager Responsibilities

  • Office & Administration
    • Central point of contact for all admin functions across departments
    • Manage office supplies, branding, reception, and facilities
    • Coordinate diary and meeting room bookings
    • HR Support including onboarding, leavers, and training records
    • Maintain HR files and manage security clearances for staff
    • Answer phones, welcome visitors, manage post and deliveries
    • Hire plant and powered access equipment
    • Create company presentations, case studies, and CVs for tenders
  • Document Control
    • Manage incoming/outgoing design documentation, drawings, and schedules
    • Oversee documentation and O&M manual creation
    • Compile test and commissioning certificates
    • Issue documentation via client portals
    • Support estimating team with drawing registers and document organisation
  • QA & Environmental
    • Maintain QA/H&S documentation, templates, and company accreditations (ISO, NSI, etc.)
    • Coordinate audits, NCRs, accident records, and site inspection returns
    • Manage monthly training and calibration reviews
    • Set up QA systems for new sites (forms, noticeboards, logistics plans)
  • Fire & Security Admin
    • Manage engineer reports, maintenance schedules
    • Place urgent supplier/subcontractor orders and source materials
    • Office maintenance including fire alarm tests, risk assessments
  • IT & Systems
    • Main point of contact for IT service providers and internal IT coordination
    • Manage staff IT equipment, software licenses, and user accounts
    • Oversee Microsoft 365, shared mailboxes, phone systems, and backups
    • Coordinate website updates and IT setup for new sites

What you need

  • Minimum 5 years’ experience in a similar role
  • Strong organisational, communication, and problem-solving skills
  • Proficiency in Microsoft 365 and general IT systems
  • Experience with document control, QA systems, and HR processes
  • A proactive, flexible, and solutions-focused mindset

You will use your excellent interpersonal skills, organisational skills and experience to help shape and streamline systems, processes and procedures.
