Role: Operations Specialist

Salary: Up to £23,400 for a 3 day week (26 hours)

Contract type: Part-time (Tuesday - Thursday)

Hours: 8am-4:30pm on Office Days; Flexible start time on working-from-home day.

Location: Bristol (hybrid) - x2 of your days will be based in our office, with the option for one day working from home. Flexibility will be required to attend the office as needed for supplier visits, company events, projects and other operational requirements

Signable is hiring an Operations Specialist to join our Operations Team and help keep the day-to-day workings of Signable running smoothly as we grow. This is a varied, hands‑on role where you’ll have real ownership from keeping our Bristol office running brilliantly to improving processes, solving problems and helping us find smarter ways of working. About the role

We’re looking for an organised, proactive and solutions-focused Operations Specialist, who loves making things work well, spotting what could be better and getting stuff done.

This is a hands‑on role with genuine ownership, but it’s not just about working through a to‑do list. You’ll manage a varied mix of day‑to‑day office operations, recurring processes and longer‑term projects, so being able to prioritise, stay organised and keep things moving will be really important.

We’re looking for someone who doesn’t just spot a problem and pass it on. You’ll be comfortable investigating what’s happening, looking at the options and coming back with a practical recommendation for what we should do next.

You’ll be reporting into our Operations Manager and working closely with our Compliance Lead, however you’ll be trusted to manage your areas independently, make sensible day‑to‑day decisions and see things through from start to finish.

As we grow, you’ll also help us look at how we do things, spotting opportunities to simplify processes, improve the way we work and bring more structure and efficiency to our Operations function.

What you’ll be responsible for

  • Own the day‑to‑day running of our Bristol office, keeping it safe, welcoming and well organised.
  • Manage office access, security, visitors, facilities and maintenance.
  • Manage workplace suppliers, contractors, purchasing and office‑related budgets.
  • Own office supplies, merchandise, equipment, storage and meeting‑room technology.
  • Coordinate workplace Health & Safety processes, including DSE assessments, checks, records and training.
  • Support the operational side of employee onboarding and offboarding, including equipment and access.
  • Liaise with our external IT support provider.
  • Coordinate travel and accommodation where required.
  • Support operational elements of compliance activity alongside our Compliance Lead.
  • Own recurring operational processes, documentation and trackers.
  • Identify opportunities to simplify, improve or automate existing processes.
  • Research solutions, suppliers and different approaches, presenting clear recommendations where decisions are needed.
  • Take ownership of Operations projects from planning through to completion.
  • Coordinate the logistics of company events, including venues, suppliers, equipment and on‑the‑day delivery.
  • Support wider business initiatives where Operations input is needed.

What we’re looking for

We’d love to hear from someone who has previous experience within an office, workplace, facilities or operational role and is used to taking ownership in a busy environment.

We’ll ideally be someone who:

  • Is exceptionally organised and comfortable juggling multiple priorities, recurring responsibilities and projects at the same time.
  • Can prioritise independently, working out what needs attention now, what can wait and when something needs escalating.
  • Is solutions‑focused – you’re comfortable researching a problem, weighing up different options and making a recommendation.
  • Has a process‑driven mindset and naturally spots opportunities to make things clearer, simpler or more efficient.
  • Is confident working with spreadsheets, trackers and operational information to organise work and support decisions.
  • Is tech‑confident and comfortable learning and navigating different platforms and systems.
  • Has strong attention to detail and enjoys keeping records, documentation and processes accurate and organised.
  • Is comfortable coordinating projects involving multiple people, deadlines and dependencies.
  • Communicates confidently with colleagues, suppliers, contractors and other external partners.
  • Has strong follow‑through – keeping track of actions, chasing where needed and making sure things actually get completed.
  • Is adaptable and able to stay focused and organised when priorities change or there’s a lot happening at once.

Bonus points if…

  • You’ve worked within a technology, SaaS or similar environment
  • You have experience within a structured or regulated environment.
  • You’ve previously coordinated company or workplace events
  • You have Health & Safety training or a relevant workplace/facilities qualification
  • You’re First Aider at Work or Fire Warden trained

Interview Timelines:

  • Application Deadline: Monday 21st September
  • 1st Stage Interviews: Wednesday 23rd & Thursday 24th September
  • 2nd Stage Paid Project: Friday 25th September (you will have 3 days to complete, however we recommend spending around 3 hours on the project)
  • Final Stage Interviews: Monday 28th & Tuesday 29th September
