Outline of role
The Project Coordinator will support the efficient delivery of consolidation activities by coordinating orders, managing stock allocation through the Warehouse Management System (WMS), and arranging transport to ensure on‑time, cost‑effective delivery aligned to project schedules. This role is integral to ensuring seamless order processing, stock visibility, and outbound logistics across multiple projects and locations. The successful candidate will work closely with internal teams, suppliers, logistics providers, and clients to maintain high service levels and operational efficiency.
Main Responsibilities
- Order & System Management
- Process and manage orders within the Warehouse Management System (WMS), ensuring accuracy and timely completion.
- Cross‑reference data between internal systems and client systems.
- Allocate equipment and materials in line with project requirements and delivery schedules.
- Maintain accurate and up‑to‑date records with a “right first time” approach.
- Stock & Equipment Coordination
- Monitor stock levels and equipment availability across operations.
- Manage equipment allocation and proactively resolve shortages.
- Track inbound deliveries and outbound dispatches to meet project milestones.
- Ensure all materials are available and prepared in line with programme dates.
- Transport & Logistics Coordination
- Arrange transport for deliveries and collections, ensuring cost‑effective solutions.
- Schedule outbound shipments and liaise with logistics providers.
- Authorise transport movements and ensure all documentation is accurate.
- Monitor delivery performance and elevate risks or delays where required.
- Project & Operational Support
- Support day‑to‑day project coordination and administrative activities.
- Monitor key dates and deadlines, escalating risks where necessary.
- Manage shared inboxes and schedules to ensure timely responses and actions.
- Provide regular updates on order status, stock availability, and transport progress.
- Stakeholder Communication
- Liaise daily with internal teams, suppliers, and clients.
- Provide clear and professional communication regarding orders, deliveries, and operational issues.
- Build and maintain strong working relationships to support smooth project delivery.
- Issue Resolution & Reporting
- Identify and resolve issues relating to stock, orders, or transport.
- Produce shortage reports, progress updates, and performance data.
- Escalate risks to timelines or delivery performance where necessary.
Knowledge And Experience Required
- Previous administrative or coordination experience, ideally within logistics, supply chain, facilities, or project environments.
- Experience using Warehouse Management Systems (WMS) or similar operational systems is desirable.
- Strong Microsoft Office skills, particularly Excel.
- Experience coordinating deliveries, stock, or customer orders preferred.
- Ability to manage and prioritise a high‑volume workload within a fast‑paced environment.
- Experience working to deadlines and supporting operational delivery activities.
