Outline of role

To support the efficient day-to-day delivery of transport and consolidation activities by processing delivery schedules, coordinating orders, and ensuring vehicle and driver availability meets agreed customer and client timelines. The role will liaise with suppliers, logistics providers, and internal teams to manage stock allocation through the Warehouse Management System (WMS) and arrange cost-effective, timely transport across multiple projects and locations, maintaining high service levels and operational efficiency. The Project Coordinator will collate, analyse, and report operational data to support key performance indicators (KPIs), identify trends, and drive continuous improvement. They will provide accurate and timely management information to support operational decision-making while ensuring compliance with company procedures and regulatory requirements through effective administration.

Main responsibilities

  • Arrange and manage transport for deliveries and collections, ensuring cost-effective and timely execution.
  • Liaise with suppliers, logistics providers, internal teams, and clients to support smooth operations.
  • Track inbound and outbound movements, ensuring materials meet project timelines and milestones.
  • Manage Proof of Delivery (POD) processes and maintain accurate transport and operational records.
  • Monitor delivery performance, identifying and escalating risks, delays, or issues as required.
  • Support project coordination through administration, scheduling, and status updates.
  • Analyse operational and financial data to produce KPI reports and drive efficiency improvements.
  • Reconcile transport and financial data; support invoicing, cost allocation, and query resolution.
  • Coordinate orders and process delivery schedules within the WMS, ensuring accuracy and data alignment across systems.
  • Allocate stock and equipment in line with project requirements, monitoring availability and resolving shortages.
  • Investigate and resolve issues relating to orders, stock, and transport; produce reports and updates.
  • Support audits, compliance activities, and provide general administrative support to the Transport team.

Knowledge and experience required

  • Previous experience in a transport, logistics, supply chain, project, or administrative environment.
  • Experience coordinating orders, deliveries, or stock within a fast-paced operational setting.
  • Familiarity with Warehouse Management Systems (WMS), transport booking systems, or similar platforms (ERP/finance systems such as Sage advantageous).
  • Strong working knowledge of Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Experience maintaining accurate records and managing data across multiple systems.
  • Understanding of transport processes and basic compliance requirements (desirable).
  • Proven ability to manage, prioritise, and meet deadlines within a high-volume workload.
  • Experience working with customers, suppliers, and internal stakeholders to support operational delivery.
