We are recruiting for an Office Manager & Personal Assistant to report to our Project Director in our Rail Infrastructure business. You will be responsible for organising and coordinating a variety of office operations including new and existing sites, implementing policies and procedures and contributing to business targets. Within this role, you will have authority for budgetary control and delegated sign off and must be able to work independently and manage your own workload.
You will need to be confident, use your initiative and be able to deal with complex, sensitive matters which require the utmost level of confidentiality and discretion. Managing excellent relationships with Director\'s client representatives, suppliers and other external parties and assist with coordinating events with key stakeholders.
Responsibilities
- Overseeing all facilities services within the office, checking the work of tradespersons and contractors and ensuring the office operates safely and efficiently through implementing office systems, layouts, and equipment procurement
- Liaising with Siemens Real Estate and subcontractors to ensure office meets all legal and auditable requirements (e.g. monthly electrical/water tests, fire alarms, security, TV Licence, insurances, hazardous waste, WEEE etc and ensuring successful audits)
- Acting as a delegated authority to sign off expenditure and meet regularly with the Finance Manager to review budgetary positions and take corrective actions
- Managing receptionists, ensuring all staff resources are deployed efficiently and making sure all work is recorded against correct project and overhead codings as well as being responsible for covering recruitment, appraisal, performance improvement tasks, dismissals
- Supporting the Project Director daily with managing their inbox, diary, meetings and other important communications
- Organising and coordinating fire drills, chairing safety meetings and acting as a Chief Fire warden for the office
- Creating, implementing induction programmes for new starters as well as managing exits; covering equipment distribution and returns, card initiation and terminations
Your success will be grounded by
- First Degree/NVQ4/HND or at least 5 years proven experience of working in a similar high profile role
- Proven experience of managing and supervising a team (appraisal/performance of results)
- Strong problem solving, attention to detail with the ability to maintain high level of accuracy in researching and preparing data
- Excellent inter-personal skills (faced with constant interruptions with need to meet short deadlines)
- Excellent communication skills both verbally and written; organisation skills and excellent grammar
- Highly computer literate and have strong computer skills with all Microsoft Office programmes to an advanced level
