We are recruiting for a Receptionist / Administrator in Northampton to provide administrative support to the Office Manager and the wider business. The role involves processing expenses, filing, recording team annual leave and sickness, and reception duties such as entrance access control and meeting and greeting visitors.

Administrative Duties
  • Providing day to day administrative support including raising purchase orders, processing expenses, filing and archiving.
  • Maintaining records and filing systems; typing and entering data into computer systems, including office applications or specialised software packages.
  • Administering programmes, projects and processes specific to the organisation unit served.
  • Logging and reporting annual leave and sickness.
Reception Duties
  • Performing entrance and access controls in the depot.
  • Receiving and switching incoming calls.
  • Verifying credentials of persons entering property and announcing them to the appropriate contact person.
  • Assuring that packages leaving the property are duly authorised.
  • Ordering and replenishing stationery items.
  • Arranging meetings (booking rooms and catering requirements).
  • Ordering and preparing catering for the meeting rooms.
  • Keeping reception area and meeting rooms clean and presentable.
  • Arranging taxis and couriers collection and delivery.

  • Proven capability in administrative skills and duties.
  • Effective organisational, interpersonal and time management skills.
  • Excellent communication and IT skills.
Safeguarding Responsibilities
  • Uphold and implement the company’s safeguarding policies and procedures.
  • Ensure the safety and welfare of all vulnerable adults and children in accordance with statutory requirements.
  • Attend regular safeguarding training and maintain up-to-date knowledge of best practices and legislation.
  • Report any concerns regarding vulnerable adults and children’s welfare to the designated safeguarding lead promptly and accurately.
  • Foster a culture of vigilance and continuous improvement in safeguarding practices.

This post is exempt from the Rehabilitation of Offenders Act (ROA) 1974. All convictions, cautions and bind-overs, including those regarded as 'spent', must be declared. The successful candidate will be required to undergo an enhanced Disclosure and Barring Service (DBS) check and provide satisfactory references.
