You will play a visible and trusted role in shaping the studio experience, keeping front-of-house operations running smoothly and ensuring every interaction reflects the professionalism, personality and energy of Side.
As a Front of House Executive, you will provide a professional, warm, and friendly welcome to all talent, visitors, clients and staff. You are required to deliver excellent customer service as the first point of contact at our studios. You will also provide support to other functions across the business, while ensuring a seamless and professional front-of-house service is delivered at all times.
What You’ll Be Doing
- Exceed our customers’ expectations through professionalism and quality of service.
- Issue all necessary forms for ID passes to staff, production, and visitors, whilst following the correct protocol and ensuring the correct levels of access control are issued with each ID badge.
- Build positive working relationships with colleagues in all departments and be on hand to assist, advise and update productions when required.
- Ensure all necessary required paperwork is completed by all personnel and issue relevant documents such as studio regulations and security policy.
- Take accurate record and promptly relay messages to the appropriate person.
- Diary management, noting relevant information relating to appointments and expected arrival times.
- Maintain all documentation and databases in line with department needs.
- Handle and file reception department email traffic and correspondence.
- Responsible for the management of lockers and keys.
- Maintain high standards of cleanliness and presentation within the reception area.
- Responsible for ordering stationery and reception supplies.
- Continuously review systems and processes, identifying and recommending opportunities for improvement.
- Support and coach Audio and Production Runner within the reception department and ensure high levels of knowledge are maintained.
- Issue additional tasks to the Audio and Production Runner when required.
- Act as the first point of contact for any facility related complaints (including utilities, facilities, infrastructure, furnishings etc.).
- Complete daily, weekly, and monthly checks of premises.
- Report any damage to studio facilities, fixtures and fittings promptly to the appropriate person.
- Liaise with third party suppliers and services when required.
- Report security issues/risks to the appropriate person.
- Observe and comply with Company health and safety policy and practices.
- Offer operational support to other departments when required.
- Support with setting up events within the Studio.

- Promote the Safety and Comfort of colleagues, freelancers, talent, clients and vendors.
- Adhere to company Security, Confidentiality and Health and Safety procedures and ensure the compliance of the team.
- Adhere to the company IT and HR procedures and ensure the compliance of the team.
- Understand ethical behaviour and business practices, and ensure that your own behaviour and the behaviour of others are consistent with these standards and aligns with the values of the organisation.
