Who will your manager be and what will you be responsible for? You will be:

  • Reporting to an Administrative Co‑ordinator who is responsible for your health and safety, training and development.
  • Responsible and accountable for members of staff, acting in a supervisory/managerial capacity, monitoring performance, supporting development and undertaking annual appraisals.
  • Expected to lead and/or contribute to a range of projects and build relations with internal and external partners to achieve specified outcomes, although you will not have direct authority over those involved.
  • Responsible for preparing responses in line with Shropshire Council\'s corporate processes and national/regulatory/statutory processes (e.g. complaints, MP enquiries, Information Governance requests, customer enquiries, media enquiries, HR staff investigations, etc.). These responses should be in line with the quality and timescale expectations set out within Shropshire Council\'s published procedures and/or case allocation emails and discussions.
  • Responsible for completing all mandatory corporate and role‑specific training within expected timescales. Training requirements will be detailed in your corporate induction and Personal Development Plan (PDP). Courses are accessed via the council Learning Management System via the Intranet.
  • Admin Assistants will complete tasks required to enable statutory requirements about children within the adoption process to be met.
  • Carry out a range of administrative and data support duties, including the maintenance of accurate records and systems, ensuring data security at all times.
  • Take minutes at complex meetings, prepare associated papers and routine follow‑up actions, ensuring that such documentation is suitable for subsequent use in the Court arena.
  • Provide a range of support mechanisms within the team, including liaising directly with members of the public, diary management, scheduling of meetings and booking of venues.
  • Input data and contribute to accurate and timely recording on a complex data and case management system which contains a comprehensive pathway of case documentation and assist with desk‑side support to social workers.
  • Initiate and process a range of correspondence, reports and other documents as required.
  • Support and promote electronic filing and scanning across the service area.
  • Promote standards that achieve equality of opportunity.
  • Liaise closely with individual social workers to assist them in prioritising case related recording in order to achieve timely and accurate records.
  • Respond to all callers and visitors in an appropriate manner, providing excellent customer services.
  • Provide administrative support to a busy team of staff, prioritising administrative tasks and monitoring workloads, bringing capacity issues to the attention of managers.
  • Use experience and skills to undertake tasks effectively.
  • Work under pressure and use own initiative to prioritise work, being prepared to adapt to new processes and systems.
  • Challenge and promote quality issues to improve the standard of recording and bring to the attention of a manager where inappropriate data is being recorded or shared.
  • Support apprentices and new members of staff during the course of their induction.

These duties are illustrative and not exhaustive. The post holder will be expected to become involved in a range of work to enable the service to respond effectively to the changing requirements of the Council and changes affecting the workforce.

Conditions of Service

The conditions of service are those laid down by Shropshire Council, which have been adopted and amended as necessary from those laid down by the National Joint Council for Local Government Services.

Your primary work base will be at The Guildhall with the requirement to regularly work from home.

Hours and Working Conditions

  • Permanent post for 37 hours per week.
  • Normal office hours: 7am – 7pm Monday‑Friday and 8am – 1pm Saturday, with a minimum lunch break of 30 minutes.
  • Occasional evening/night/weekend work may be required.
  • Post is subject to the Council\'s annualised hours scheme.
  • Eligibility to join the Local Government Pension Scheme.
  • Annual leave: pro‑rated flat rate of 207 hours (28 days) plus bank holidays; 244 hours (33 days) if the employee has five years of local government service.
  • Notice periods: one month’s notice on either side; six months’ satisfactory probationary service, with a one‑week notice on either side during probation.
  • Smoking is not allowed in Council buildings, vehicles or any Council place of work.

Vehicle and Travel

Applicants must provide a suitable vehicle for the performance of their duties and that the vehicle is readily available during normal working hours. Employees are entitled to claim reimbursement of travel for council business at the rate of 45 pence per mile.
