The bit about the role
The successful candidate will support the Delegate Registration team in all required functions of the delegate registration process across the Energy Transition Portfolio comprising of Mining Indaba and 121 Mining Investment. In collaboration with Marketing and other stakeholders, you will play a key role in ensuring a smooth registration process for delegates both before and during the event.
As part of your job, you’ll be:
- Finance & Payments
- Support Registration Management with payment collection pre-show for all registered delegates, including internal reconciliation to relevant finance systems and GES.
- Collect on-site payment (card/PDQ) from any outstanding delegates.
- Enforce the 30-day cancellation policy for unpaid delegates across both events with the support of finance and Registration Management.
- System Management
- Provide the manual interface to support data integrity across systems (visit by GES / CRM / Stripe / SAP / Grip).
- Raising delegate orders within CRM. Maintaining and updating all delegate orders for the current event edition.
- Creation of delegate registration codes, following up with the clients to ensure passes are utilised prior to the event.
- General Administration
- Managing and responding to all delegate and registration inbound enquiries, from our event support inboxes and incoming phone calls.
- Issuing invitation letters to support visa applications via DocuSign.
- Provide and run on-site delegate registration.
- Ad-hoc admin support.
Here’s what we’re looking for from you:
Essential
- High attention to detail and the ability to work quickly and efficiently.
- A confident and highly organised individual, with excellent interpersonal skills.
- Fluent written and spoken English.
- A positive, can do solutions focused attitude.
- Familiar in full Microsoft suite of products, particularly proficient in using Microsoft Excel.
- Experience being customer facing and dealing with a range of clientele.
- International travel required.
Desirable
- Experience dealing with C-level, VIP’s or government delegations.
- Experience and knowledge of CRM (Microsoft Dynamics).
- Experience handling, understanding and manipulating data.
- Good understanding of B2B conferences and/or exhibitions.
- Knowledge of visit by GES or other registration platforms.
