The role involves various functions that are not exhaustive and require flexibility from the individual.

Main Responsibilities:

  • Issuing of plot sale paperwork, including relevant contracts/assurances for plot reservations.
  • Dealing with pre-contract enquiries.
  • Processing exchange of contracts.
  • Preparation of relevant completion statements.
  • Completion procedures.
  • Dealing with Land Registry requisitions on title.
  • Registration procedures.
  • Preparing documentation for exchange/completion of part exchange/chain break property.
  • Online SDLT returns.
  • Use of Land Registry online.
  • Procurement of conveyancing searches.
  • Dealing with incoming phone calls.
  • Opening of paper files and inception on the Accounts System and DPS.
  • Closing of paper files, including investigation of outstanding balances.
  • Preparation of indents for accounts completion packs.
  • Use of Elite for preparation of bills.
  • Use of the DPS system or any replacement system the firm may install.
  • Use of Word/Excel for production of spreadsheets and reports.

General:

  • To provide a quality and accurate service to clients.
  • To establish and manage clients’ expectations.
  • Required attendance at Team Briefings.
  • Willingness to participate in training/self-development and obtaining relevant qualifications.
  • Attend courses/seminars when required, including outside of office hours if necessary.
  • Be capable of managing own caseload without administrative support (where any support is absent or seconded to others).
  • Participate in a “buddy” system to provide cover for absent colleagues.
  • Be IT literate and follow the Firm’s policy at all times.
