The role will be responsible for managing the receipt, storage, and verification of a large volume of property deeds and legal documentation. The successful candidate will oversee the intake of approximately 1,200 deed files, ensuring all records are accurately checked against inventory schedules and securely stored.

Key Responsibilities:

  • Coordinate and manage the receipt and storage of property deed files.
  • Verify the contents of each file against provided deed schedules to ensure accuracy and completeness.
  • Identify and resolve discrepancies between physical documents and inventory records.
  • Maintain accurate records of file locations and document status.
  • Liaise with internal stakeholders to ensure a smooth transfer and ongoing management of property documentation.
  • Follow established procedures for document handling, storage, and record keeping.
  • Work closely with specialist teams who will provide guidance and support throughout the project.

This role requires strong attention to detail, excellent organisational skills, and the ability to manage large volumes of documentation accurately and efficiently. This role involves working with all members of the team and is key in supporting our delivery of excellent client service.

Skills & Qualifications:

  • Law graduate or previous experience of working within real estate in a law firm.
  • Good working knowledge of various applications – word, excel, outlook, copilot, docusign.
  • Good communication skills with a proactive approach to keeping all parties up to date.
  • A methodical approach with keen attention paid to detail.
  • Good organisational skills to ensure that tasks are effectively scheduled within working time available.
  • Able to integrate within a team as well as working on one’s own initiative.
  • Remaining calm under pressure and adapting quickly to changing tasks and requirements.
