The role of Travel Coordinator is a strategic and operational role responsible for leading the firm’s travel programme, ensuring safe, cost‑effective, and policy‑compliant travel across all business units. This role involves vendor management, policy development, sustainability reporting, and oversight of travel risk and compliance. The successful candidate will be a proactive problem‑solver with good stakeholder engagement skills.
Key Responsibilities:
- Strategic Travel Management: Lead and maintain travel policies and procedures in line with business travel agreements (e.g. Reed & Mackay). Develop and optimise travel programmes to support business continuity, sustainability goals, and cost efficiency. Negotiate contracts and preferred rates with travel service providers.
- Operational Oversight: Ensure TMC effectively manages all aspects of travel booking including flights, hotels, ground transport, and visas. Support compliance with travel risk assessment procedures. Monitor travel spend and MI reporting for senior leadership.
- Stakeholder Engagement: Act as the primary point of contact for travel-related queries across the firm. Collaborate with Finance, R&E and ESG teams to ensure alignment with firm-wide policies. Provide support during travel disruptions. Lead training sessions on travel systems and policy updates. Provide hands‑on support for complex international travel bookings.
This role may also be required to undertake additional duties that support the wider Procurement and Property & Workplace teams, as reasonably requested to meet business needs.
Required Skills And Experience:
- Previous experience in corporate travel coordination or travel management.
- Strong negotiation and vendor management skills.
- Proficiency in travel booking platforms and Microsoft Office.
- Excellent communication, organisational, and analytical skills.
- Knowledge of sustainability reporting, travel risk management, and UK/international travel regulations.
- Experience managing travel for large-scale events or multi‑site operations is highly desirable.
