The role of Quality Assurance and Administration Assistant is to assist the Team Leader in supporting the wider Litigation, Regulatory & Compliance Team in Northern Ireland, and Scotland. Primary responsibilities are to assist with internal compliance oversight audits and provide administrative support for the legal teams and their clients. We welcome applications from individuals who may not have all the necessary skill sets or experience; full training will be provided to the successful applicant. Main Responsibilities:

  • Quality Assurance and Compliance
    • To complete quality checks on work completed by the wider department to ensure that internal and external requirements are being met, including file and call auditing.
    • To assist with the completion of the response to client audits.
    • To assist the team lead in maintaining policy and procedure documents.
    • To assist the team lead in maintaining compliance records.
    • Supporting the team lead in preparing training materials and the delivery of training on client standards to the wider LRC teams.
  • Administrative Responsibilities
    • To provide day‑to‑day administrative support to the LRC team as directed by the Team Lead.
    • Assisting the Litigation Managers with internal and external reporting.
    • Undertaken litigation activities in line with the court process as directed by the Team Lead, to include issuing and serving court claims.
    • Managing internal and external data transfer sites.
    • Supporting the wider department with various finance tasks.
    • Supporting with the loading of new client instructions.
  • General Responsibilities
    • To be familiar with and follow the Unit's policies, procedures and processes.
    • Comply with all of the firm's policies and all regulatory requirements.
    • Control and manage your workload effectively and efficiently using the relevant case management systems and IS resources and processes appropriately.
    • Be responsible and accountable for your workload, including meeting internal and client SLA requirements.
    • Recognise any potential issues in cases and refer these appropriately.
    • Attend and complete any training in a timely manner.
    • Attend internal and external meetings as required and assist in implementing changes to any Unit procedures.
    • Liaise with other internal teams as appropriate.
    • Assist the Unit in achieving financial targets, other KPIs, management information and meeting budgets.
    • Support the Unit with marketing initiatives when required and collate management information.
    • Assisting the department with any other administrative tasks as directed by your line manager.

Skills and Qualifications

  • IT literate with experience of using Word, Excel and the internet.
  • Good written, numeracy and oral communication skills.
  • Accuracy and attention to detail.
  • Ability to prioritise, be organised and efficient.
  • Flexibility with the capability to adapt to change, new practices and cope under pressure but with the ability to recognise when to seek assistance.
  • Able to integrate within a team and able to work on your own initiative.
  • Friendly and helpful approach.
  • Confidence to challenge current practices and processes and influence senior management.
