Key focus areas include:
- Complex diary management for a busy Partner, including the coordination of meetings across multiple time zones and international jurisdictions.
- Proactive email management, including monitoring a high-volume inbox, prioritising communications, drafting responses where appropriate and maintaining accurate email filing.
- Arranging complex international travel, including flights, accommodation, transfers and itineraries, ensuring efficient scheduling and adherence to firm policies.
- Acting as a first point of contact for international clients, building strong working relationships and dealing professionally and confidently with queries across different regions and time zones.
- Working closely with the Partner to anticipate forthcoming commitments, deadlines and travel requirements, ensuring they are fully prepared at all times.
- General PA responsibilities include updating interaction with client contact details, processing expense claims, preparation of draft emails and correspondence for approval, preparing/amending reports, pitch and fee quote documents, file notes, correspondence and other ad-hoc documentation.
- Assisting with all aspects of billing, incoming/outgoing funds requests, including cheque requisitions, and confirming account details when required.
- Assisting with conflict checks prior to client and matter inceptions, incepting clients and matters in line with the firm’s guidelines, and assisting with all money-laundering compliance on new client inceptions.
- Closing client matters in line with corporate best practice, e-filing of incoming and outgoing emails when required, managing client filing, archiving and record-keeping tasks.
- Organising meetings, team and client events, and booking travel for Legal Advisors as required.
- Working as part of the wider PA team.
Skills and qualifications:
- Proven PA experience, ideally within Corporate, a similar practice area or another professional services environment (although not required depending on candidate).
- Demonstrable experience supporting senior stakeholders with complex diaries, inbox management and international travel arrangements.
- Highly organised with the ability to manage competing priorities and a constantly changing schedule.
- Confident working with international clients and colleagues, with strong interpersonal and communication skills.
- Self-motivated and able to work independently, delivering work to a consistently high standard.
- Good working knowledge of Outlook, Teams, Word, Excel (basic), PowerPoint (helpful but not essential), iManage or similar DMS program and Adobe Pro.
- Strong attention to detail, taking care with all correspondence and documentation.
- Flexible and adaptable, able to cope calmly under pressure and respond positively to changing priorities.
- A methodical, organised approach with excellent time-management skills.
- Strong prioritisation skills to ensure urgent work is completed within required timescales.
- Friendly, professional and helpful manner when dealing with internal and external enquiries.
- Able to work effectively as part of a team while also using own initiative to deliver a high-quality service.
