This is an exciting role within a forward-thinking business development and marketing team which provides integrated marketing, digital services, client relationship management and business development expertise to the Business. The Events Manager role is part of the firm’s Marketing Operations team and will be responsible for supporting the planning and delivery of a wide range of events that will enhance our brand presence, client relationships and business development initiatives, aligned to the firm’s overarching strategy and business objectives.

You will be working as part of a high-performing events team, supporting the Head of Marketing Operations and the team on the delivery of a range of events designed to foster client loyalty, drive business growth and underpin our position as a market leader. You will ensure events are planned and delivered to run smoothly, by providing administrative support to the team, supporting stakeholders with queries and providing on the day support, as well as the end-to-end management of a portfolio of events. As Events Manager you will also provide day-to-day leadership and support to the Events team including guidance and best practice as agreed in the event strategy.

Standard contracted hours for this role are from 9am - 5:30pm. However, due to the dynamic nature of event management, there will be occasions in the lead-up to and during events when adjustments to these hours may be necessary. Such alterations are considered an integral part of the role, and candidates should be prepared for a degree of flexibility in their working schedule to accommodate the successful execution of events.

Main responsibilities
  • Collaborate with the Head of Marketing Operations and the team to execute the events strategy and lead key projects that reinforce and elevate our commitment to excellence in our events.
  • End-to-end management of a portfolio of key onsite and offsite events, including initial scoping meetings, taking a full event brief and gaining deep understanding of the event objectives and budget, event proposal creation, invitation and guest list management and post event analysis and recommendations to ensure we drive excellence through our events.
  • Provide day-to-day leadership and support to the Events team including providing guidance on events planning.
  • Own the end-to-end event design and stakeholder management.
  • Work closely with stakeholders and the wider BD team to define clear event objectives and gain insight into how to measure and report on success post event.
  • Lead on the logistical management of complex, large events (a blend of live, hybrid and virtual) with an eye for detail, but also proactively design events to showcase the firm’s expertise and heighten our visibility within key markets whilst tracking event spend against budget.
  • Work with the CRM data team to build client-centred mailing lists on the firm’s CRM system.
  • Create event invitations in collaboration with the BD team, tracking and reporting as appropriate throughout the invite marketing automation process.
  • Work with the Marketing Operations team to produce event collateral and content for the firm’s website and social media channels.
  • Collaborate with the PR & Communications team to provide opportunities for external and internal comms activity.
  • Research venues, event suppliers and industry trends to maintain knowledge and networks.
  • Build and maintain a strong internal network across the firm, ensuring a deep understanding of the BD team, firmwide and practice group strategy to increase engagement.
  • Liaise closely with the in-house FOH teams including reception, catering, to ensure smooth running of all client events and that standards are being upheld.
  • Create and analyse event ROI data and post event feedback and reporting for key stakeholders.
  • Regularly review and update the suite of event ‘self-help’ tools on the intranet and update the central events calendar to increase visibility, awareness and engagement across the firm.
  • Review the success of individual external facing seminars/events and feeding back to sectors with suggestions for improvement, where relevant.
Regional focus
  • Be a point-person for regionally focused BD activity, ensuring alignment with the firm’s Chosen Markets strategy.
  • Collaborate closely with the Head of Office in your regional areas to proactively spearhead local initiatives.
  • Assist the Head of Office with managing the business development events budget aligned with our strategic goals to ensure optimal allocation and utilisation of resources.
Skills and qualifications
  • A minimum of 5 years’ experience of coordinating events, gained in a professional services or similar environment. An understanding of the legal sector is advantageous.
  • A confident communicator with exceptional writing skills and attention to detail.
  • High levels of accuracy and attention to detail.
  • Knowledge of CRM systems. Experience of InterAction+, Vuture and Adobe AEM would be advantageous.
  • Good working knowledge of MS Office.
  • A proactive team player, able to prioritise and manage several projects concurrently and meet deadlines.
  • Experience in hosting live virtual webinars, on any platform.
  • Good front of house skills ensuring an easily identifiable Shoosmiths event can be delivered within the relevant market place.
