Transactional Finance Manager
MISSION
The Transactional Finance Manager is responsible for overseeing and managing the AR and AP team, in the collection and payment of the Group\’s cash, playing a key role in the financial viability and success of the business.
The Transactional Finance Manager is responsible for:
- Overseeing the invoice to cash process across the Shiseido UKI, documenting and implementing new AR processes.
- Overseeing the end-to-end AP process across the Shiseido UKI including invoice processing, approval workflows and payments.
- Defining the control framework ensuring these processes are adhered to.
- Managing and developing the AP and AR teams, encouraging open communication, teamwork and collaboration across Shiseido UKI to solve problems and achieve goals.

Manage: Transactional Finance Team of four (2 AR, 2 AP) with 2 direct reports (Senior Credit Controller & Senior AP assistant)
Job Location: Hybrid working with offices based in London Covent Garden

MAIN RESPONSIBILITIES
- Accounts Receivable:
- Oversee the day to day operations of the AR department, including cash collection & application, manual invoicing, debit & query resolution to ensure all policies and procedures are followed and KPIs and targets are met.
- Ensure that weekly monitoring of ageing and overdue balances, and that issuing regular reporting to the business escalating issues to GFC/FD and Commercial Teams where required.
- Responsible for month end reporting, ensuring the sub ledger is closed monthly as per the time table, calculating bad debt provision, overseeing revenue recognition process and preparing month end reports.
- Management of trade insurance policy with monthly meetings with Insurance company & following reporting obligations and when appropriate, working closely with external debt collection agency.
- Responsible for ensuring that master data on accounts receivable is accurate and assessing the credit risk and limits of all new accounts and key accounts half yearly and keeping abreast of any retailer developments that may impact credit.
- Drive process improvement across AR especially around key areas such as debit notes, collaborating with other departments to develop more efficient processes through a combination of regular reporting and face to face / online meetings.
- Assist with audit queries and Japanese SOX control testing, ensuring controls and process documents are complete and continually updated.
- Accounts Payable:
- Responsible for maintaining the supplier\’s ledger for UK&I\’s.
- Responsible for documenting and implementing new AP processes with a view to improve internal control framework to ensure these processes are adhered to.
- Identify areas where processes could be improved further and work with the team to implement and document changes.
- Oversee the weekly payment process in line with Shiseido UK&I Group guidelines and process of producing month end balance sheet reconciliations and supplier statement reconciliations.
- Oversee the Forex transactions and ensure that the Forex balance online is maintained.
- Responsible for ensuring that master data on accounts payable is accurate.
- Ensuring that the intercompany account and the Travel and Expense platform are maintained and accurate.
- Leading the Credit control & AP Teams:
- Provide clear direction, set expectations and manage priorities to ensure team members meet individual and group objectives.
- Conduct regular one-to-one meetings to provide feedback, address challenges and track progress towards goals.
- Coach and motivate the team to drive an integrated performance culture across the Finance team.
- Foster a collaborative and supportive team environment that encourages open communication and problem solving.
- Share experience and best practice with EMEA Finance teams and take part in regional initiatives.
EXPERIENCE REQUIRED
- Strong credit control background, ideally in Retail/FMCG with experience in dealing with deductions.
- Previous experience leading an AP function in a large corporate environment.
- Excellent communication skills, both written and oral.
- Previous experience of managing a team.
- Ability to prioritise workload for self and for the team and deliver to deadlines.
- Good time management and organisational skills.
- Personable approach but resilient when required.
- Keen attention to detail.
- Flexible and adaptable to changing business demands.
- Experience of working with SAP (S4 Hana).
- Good Excel skills – VLOOKUP, Pivots, SUMIF.
- Strong relationship building skills.
