We are seeking an enthusiastic and motivated Events Assistant to join our team. Monitored by the Events Manager, this role supports planning, delivery, and administration of events, lettings, and holiday camps across the school. The position is fast‑paced and requires teamwork, flexibility and a proactive approach. Events occur during school hours, evenings and weekends; the assistant ensures they are delivered smoothly, safely and professionally.

Key Responsibilities

  • Assist in the organisation and delivery of school events, lettings and holiday camps across Nursery, Preparatory and Senior Divisions.
  • Maintain and update the events and lettings calendar.
  • Support onsite event set‑up, delivery and breakdown and act as the point of contact during events.
  • Assist the Events Manager with planning and delivery of holiday camps and activity programmes.
  • Coordinate with Catering, Domestic, Operations, Estates and IT teams for event requirements, catering and work requests.
  • Prepare, circulate and file event risk assessments, complying with Health & Safety.
  • Administer Letting Agreements and Venue Hire Agreements for external users.
  • Welcome, check‑in venue hire groups and communicate Health & Safety procedures.
  • Manage website, Firefly event sign‑ups, ticket issuance and badge creation.
  • Ensure notice boards and internal communications publicise upcoming events, lettings and holiday camps.
  • Design and produce event invitations, posters, tickets and promotional materials.
  • Collect and analyse attendance data and event feedback to inform future planning.
  • Help manage the Events mailbox and respond to routine enquiries promptly.
  • Maintain and update the Events and Camps pages on the school website.
  • Keep accurate event records, including attendee lists, ticketing information and basic financial tracking as directed.

Requirements

  • A level education or equivalent qualification.
  • Experience in a similar role, preferably within a school setting.
  • Excellent communication, organisational and time‑management skills.
  • IT proficiency, creative design ability and interpersonal skills.
  • Understanding of child welfare promotion and safeguarding.
  • Willingness to participate enthusiastically in aspects of boarding school life.
  • Ability to work independently as well as part‑time to meet school needs.
  • Approachability, confident demeanour and empathy.
  • Discretion, sensitivity and professional confidentiality.
  • Flexibility to adapt working hours per school requirements.
  • Knowledge of the education sector or independent schools (desirable).
  • Additional qualifications in events management and/or residential lettings (desirable).
  • Degree‑level education or equivalent (desirable).
