The five star Sheraton Grand Hotel and Spa, Edinburgh is looking for an Events Billing Co-ordinator to join the team. This is a permanent position based on property as part of a great team, working 32 hours per week over 4 days.

What you'll be doing:

  • Providing administrative support to Groups & Events Executives
  • Reviewing commission claims for payment
  • Reconciling daily charges versus Group and Event Orders
  • Monitoring methods of payments including following up with clients when deposits are overdue or credit card payments are required
  • Working closely with the Finance and Operations teams to ensure prompt accurate billing.

In Summary:

  • Updating Event Orders and Event Contracts
  • Ensuring approved credit facilities are in place where required
  • Monitoring deposits due and credit card pre-payments/pre-authorisations required
  • Follow-up with clients to obtain deposits and credit card details
  • Checking figures, postings, and documents for correct entry, mathematical accuracy, and proper codes
  • Ensure proper authorised back-up is in place for all charges
  • Liaise with the Operations teams to ensure timely, accurate charging in line with company targets
  • Attend weekly Event Order review meetings with Events, Operations and Finance
  • Work closely with Finance team to help resolve client queries.
