Shenandoah University’s Office of Admissions is accepting applications for an On-Campus Experience Manager. This is a part-time benefited position located on our main campus in Winchester, Virginia.

General Description and Responsibilities

Employing exceptional interpersonal skills, management, leadership, and technical understanding, the Shenandoah University On-Campus Experience Manager is a key member of the Admissions On-Campus Experience team (OCE) and reports to the Senior Assistant Director of On-Campus Experience. The Office of Admissions is the central office responsible for the recruitment of new students to Shenandoah University. The On-Campus Experience Manager plays a critical, pivotal role in that responsibility.

In addition to supporting all on-campus events and assisting with the management of event assets, the On-Campus Experience Manager is the primary executor of the Conservatory’s admissions recruitment events, including but not limited to auditions days, workshops, shadow days, and open houses. This role works collaboratively with the Admissions Operations team and Slate CRM Captains to drive the management, configuration, and optimization of the CRM system to ensure alignment with OCE goals and processes.

The On-Campus Experience Manager represents the University by ensuring all admissions-related constituents experience a caring and friendly attitude, a helpful and professional demeanor, and the receipt of accurate, timely information setting the stage for a positive and productive SU experience. As a whole, the Admissions OCE team recruits prospective students of all types (First-Year, Transfer, and Graduate) to the University using exceptional campus-based (virtual and in-person) experiences.

The On-Campus Experience Manager must function as an integral member of the student recruitment team and work collaboratively with other members of the Admissions staff to achieve new student enrollment goals. This will require an in-depth knowledge of the duties and responsibilities of other staff members, the timing of the varied admissions cycles and the academic calendar, as well as campus operations.

Responsibilities include:

  • Functioning as a fully participating member of Admissions, the R&M Division and Shenandoah University community, serving on projects, committees, and special events as assigned by the supervisor.
  • Along with the Senior Assistant Director of On-Campus Experience, coordinating and executing high-quality Admissions Events and activities, from conception to execution with a specialty focus on Conservatory recruitment events. Events can be scheduled on evenings and weekends, and the On-Campus Experience Manager should be prepared to work these hours as expected.
  • Assisting with phone and email communications for the department in a professional, helpful manner, providing in-depth and accurate information, and transferring calls when necessary to the most appropriate person or office.
  • Working closely with the Director of FY & Conservatory Admissions, the Admissions Operations team, Director of College Outreach, On-Campus Experience team, and Slate Captains to better understand the event needs of the office at-large.
  • Employing broad knowledge of the University’s academic, athletic, and student life programs to communicate and assist admissions constituents.
  • Developing and maintaining strong relationships with campus partners, in connection with their supervisor, in order to gather and disseminate up-to-date and accurate information for ambassador use on campus tours.
  • Assisting the Welcome Center Coordinator should coverage at the Welcome Center front desk be needed to answer phones, emails, or manage visitor traffic.
  • Functioning as an active member of the On-Campus Experience team, constantly seeking feedback as to the quality of experience and taking the appropriate action with campus partners to improve and problem solve as needed.

On-Campus Experience Manager responsibilities include, but are not limited to:

  • Coordinating with the Admissions Operations team to create and plan email and web marketing for Conservatory events.
  • Communicating with Conservatory campus partners, faculty, and staff on event details and responsibilities.
  • Tracking registration of Conservatory events in order to anticipate needs for facilities, catering, tours, accessibility, etc.
  • Creating check-in documents and recording attendance for assigned events.
  • Communicating registration information with Admissions staff and campus partners as needed.
  • Overseeing the day-of-event set-up, check-in, and break-down of Conservatory events in coordination with the Senior Assistant Director of On-Campus Experience and Admissions student employees.
  • Being present and engaged during event days.
  • Having a hospitable attitude towards prospective families, staff, student employees, faculty, and campus partners alike.
  • Being vigilant and taking initiative during events to resolve issues promptly.
  • Utilizing quick problem-solving skills in tense situations while maintaining a positive attitude.
  • Being willing to aid in any and all event-related tasks that may arise.
  • Other responsibilities and duties as assigned by supervisor(s).

Slate Optimization and Communication:

Work collaboratively with the Admissions Operations team and Slate Captains to drive the management, configuration, and optimization of the Slate CRM system to ensure alignment with OCE goals and processes. While experience with Slate, or a comparable admissions CRM system is preferred, it is not required. Supplemental training will be made available to those who have no current knowledge.

In collaboration with the Admissions Operations team, establish and promote best practices for using Slate CRM within the OCE team. In coordination with the Senior Assistant Director for On-Campus Experience, be an active participant in designing and implementing training programs for team members to enhance their proficiency with the CRM system and documenting as needed. Collaborate with Admissions Operations to build and design technical and functional aspects of Slate event templates, invitation and registration communications, and eventual Slate event portals.
