Position Summary: This is an exciting opportunity for a highly organised, operationally driven professional to play a critical enabling role within SHEIN’s international legal function. Despite carrying the title of Executive Assistant, this role is by no means a traditional EA position. For the right candidate, there will be significant exposure to legal operations and organisational transformation work, designed for someone who combines deep process discipline, project management capability with a genuine passion for building structure and driving efficiency across a complex, fast-growing global legal team.

Working directly with and reporting to the General Counsel, the EA will support the introduction of new processes, systems and ways of working across SHEIN’s international legal teams. This includes law firm management and procurement processes, coordinating global team operations, driving technology and systems implementation, and ensuring the legal function operates with consistency, discipline and efficiency across multiple jurisdictions and time zones.

The successful candidate must be exceptionally organised, technologically fluent, commercially aware, and comfortable operating across a large international team spanning Americas, EMEA and APAC. They must be energised by helping to implement systems and processes and motivated by helping a global function become more effective in communication and execution.

Responsibilities:

  • Work closely with the General Counsel to implement new operational processes, workflows and governance practices across SHEIN’s international legal teams, ensuring consistent adoption and continuous improvement.
  • Assist the GC in budget management with the finance team and the law firm management process, including outside counsel procurement, panel management, onboarding, and periodic review.
  • Working with the legal operations team, assist the GC in the evaluation, implementation and ongoing optimisation of legal technology systems — including matter management, e-billing, document management and other legal operations platforms.
  • Drive cross-functional legal projects on behalf of the General Counsel, managing timelines, stakeholders, interdependencies and deliverables through to completion.
  • Maintain clear project plans, status dashboards, and reporting tools that give the General Counsel and senior legal leadership real-time visibility over team activity, priorities, legal spend and matter status.
  • Facilitate effective global team coordination, including managing communications, meeting schedules, agendas and action tracking across multiple time zones and international offices.
  • Organise and manage global legal team meetings, town halls, offsites and leadership forums, ensuring preparation of high-quality materials, effective facilitation and thorough follow-up.
  • Assist in legal knowledge management infrastructure, by working closely with the legal operations team, including templates, playbooks, guidance materials, standard operating procedures and internal repositories, to improve consistency and scalability across the global team.
  • Actively identify opportunities to improve legal service delivery, operational governance and team effectiveness as SHEIN’s business continues to scale globally.

Skills and Qualifications:

  • Exceptionally organised, detail-oriented and disciplined, with the ability to manage competing priorities effectively and maintain high standards under pressure.
  • Excellent communication and stakeholder management skills, with the ability to translate complex operational requirements into clear, actionable plans and to influence cross-functional teams without direct line authority.
  • Strong project and programme management capability, with experience managing multiple concurrent workstreams in a fast-paced, international setting.
  • Comfortable operating in fast-paced, evolving environments with strong resilience, adaptability, and execution focus; energised by building structure where it does not yet exist.
  • High degree of discretion, integrity and professionalism, with the ability to operate effectively in a senior, high-trust environment.

Other experience that would be highly advantageous:

  • Experience in a legal operations, legal project management or equivalent operational role within a legal environment, either in-house or in a law firm.
  • Professional proficiency in English is essential; Mandarin proficiency would be highly advantageous.

Preferred Attributes:

  • Experience within e-commerce, technology, retail, or similarly high-growth international businesses where operational rigour is essential to managing scale.
  • Familiarity with legal operations methodologies, continuous improvement frameworks, and knowledge management best practices.
  • Experience working across international and cross-cultural teams, with an appreciation of the communication and coordination challenges that arise in globally distributed organisations.
  • Strong interest in legal innovation, technology-enabled service delivery, and building modern, scalable legal team operating models.
  • Practical, hands-on approach combined with the credibility and communication skills to engage effectively at senior leadership level.
