Main Duties:

  • Office Manager
  • Open the office at 8:30am and prepare the building for the day.
  • Manage stationery orders and store room.
  • Communicate with the cleaning and maintenance companies.
  • Manage any queries/problems with regard to the above.
  • Ensure regular/annual maintenance checks are carried out (electrical, gas, heating, fire, security etc).
  • Responsible for maintenance contracts for building.
  • First Aider.
  • Fire Marshal and test Fire alarm on a weekly basis.
  • Key holder and emergency contact.
  • Front of House Administrator
    • Meet and greet all visitors and offer refreshments.
    • Receive and sign parcels and distribute all mail and deliveries.
    • Prepare meeting room for all meetings: organize, set up and clear.
    • Order refreshments for both offices and showrooms.
    • Distribute magazines on behalf of marketing department (National and International).
    • Ad hoc duties on request.
    • Booking couriers, bikes and taxis on request.
    • Booking International and domestic Couriers (Fedex).
    • Prepare all outgoing post (by using franking machine) daily.
    • Process personal expenses each month.

    Hours of Work:

    Working hours are 8.30am - 4.30pm although the position may necessitate longer and flexible hours from time to time.

    • Must be well presented and well spoken.
    • Professional with a friendly and welcoming manner.
    • Always willing to help with a positive attitude.
    • Dependability and consistent.
    • Able to multi-task and be very organised with the ability to prioritise.
    • Must be a self-starter.
    • Great communicator.
    • IT literate.
    • Experience in a customer facing role would be an advantage.
    • Must have common sense and be practical.
