We are looking for someone to join our dedicated Outpatients Reception team. You will book appointments, manage patient schedules, and provide exceptional service to our patients, families, and colleagues.

About You

Educated to GCSE level or equivalent experience, you will have great organisational skills and the ability to handle a busy workload. Experience working in an administrative or reception role is essential. This is a fantastic opportunity to make a difference in our busy outpatient environment.

Main duties of the job

  • Book and manage appointments according to Trust standards.
  • Engage with patients, visitors, and staff, demonstrating empathy and professionalism.
  • Perform administrative tasks, including filing referrals, sorting post, and scanning documents.
  • Handle phone calls, emails, and book services such as interpreters and transport.
  • Greet visitors and provide necessary information at the reception desk.
  • Provide support for other roles during absence and suggest improvements for service delivery.

Person Specification

Qualifications

  • Educated to GCSE standard or equivalent.
  • NVQ Level 2 - Administration or equivalent acquired experience.

Experience

  • Clerical and/or reception work experience gained from working within a public facing environment.
  • Experience of working in a team environment.
  • Significant clerical and or reception experience gained within the NHS - ideally a patient administration department within a hospital setting.
  • Experience of in-patient, out-patient or waiting list management.

Knowledge and Skills

  • Ability to manage a busy workload and prioritise tasks.
  • Ability to demonstrate initiative and work collaboratively.
  • Experience of using modules of the Patient Administrative System, in particular the outpatient module.
  • Working knowledge of hospital administrative processes and practices.

Personal Attributes

  • Ability to communicate sensitively with children, young people, and their families.
  • Detail oriented.
