Position: Part Time Children’s Home Administrator

Location: Northampton – NN1

Contract: Permanent, Part-Time, 10 hours per week

Salary: £13.45 per hour (£6,994 per annum)

Vacancy

We are seeking a highly organised and detail-oriented Administrator to provide day‑to‑day administrative support to our care leavers team in Northampton – NN1. The team supports young people aged 17‑21 with advice, support and mentoring to help them transition into adulthood. The role requires 10 hours per week; days can be discussed with the home manager.

Key Role & Responsibilities

  • Conduct and monitor critical staff compliance checks, including Enhanced DBS status checks and Driver Licence checks, ensuring all records are accurately logged in the Charms Management System.
  • Monitor staff training compliance and assist with the timely submission of the monthly payroll return by collecting and checking shift data.
  • Maintain clear and accurate records of all maintenance work and complete administrative tasks related to quality assurance.
  • Manage the petty cash system and reconcile credit card expenditure according to strict financial procedures, ensuring absolute transparency and accountability.
  • Raise purchase orders and efficiently manage the invoicing process to ensure external contractors and suppliers are paid promptly.
  • Ensure children’s allowances are allocated and available on required days, and monitor their spend, escalating any concerns to the Manager.
  • Coordinate and accurately minute key meetings and ensure timely archiving of service paperwork in line with data protection regulations.
  • Serve as a key point of contact, liaising effectively with external agencies and suppliers as required.
  • Support visitors who come to the service, ensuring correct identification to maintain the safety of our young people.

  • Previous, proven experience in a busy office administrative role.
  • Excellent written and verbal communication skills.
  • Outstanding organisational and time‑management abilities, with a meticulous, detail‑oriented approach.
  • The ability to work on your own initiative, problem‑solve, and prioritise deadlines while maintaining a resilient, calm, and empathetic approach in a high‑pressure environment.
  • A commitment to safeguarding and promoting the welfare of children, demonstrating integrity and accountability in all actions.
  • GCSEs (or equivalent) in Maths and English.
