We are looking for a highly organised and proactive Business Management & Executive Support Specialist to support the day-to-day management and operations of our UK business. This is a varied role covering business administration, executive support, procurement, supplier coordination, office and asset management, as well as supporting a range of operational projects. The ideal candidate is someone who is comfortable working in a fast-paced environment, can manage multiple priorities, and is able to take ownership of problems and find practical solutions.
Key Responsibilities
- Provide day-to-day administrative and business support to the UK management team, including meeting coordination, documentation and follow-up of key actions.
- Support procurement activities, including supplier sourcing, quotation comparison, purchase processes and supplier relationship management.
- Manage company office supplies, equipment, assets and other business materials, ensuring appropriate records and controls are maintained.
- Coordinate with internal teams, suppliers and external partners to ensure smooth delivery of day-to-day business requirements.
- Support company events, meetings, visits and other business activities when required.
- Assist with business administration, reporting, document management and other management-related projects.
- Identify operational issues proactively, coordinate with relevant stakeholders and follow through to practical solutions.
- Take on ad-hoc projects and responsibilities according to the evolving needs of the UK business.
About You
- Strong organisational and coordination skills, with the ability to manage multiple tasks and priorities effectively.
- Strong problem-solving skills and a hands-on approach — you are comfortable dealing with unexpected issues and finding solutions rather than waiting for instructions.
- Resilient and adaptable, with the ability to work effectively in a fast-paced and changing business environment.
- Good communication and interpersonal skills, with the confidence to work with colleagues, management, suppliers and external partners.
- Strong attention to detail and a high level of ownership and accountability.
- Proficient in Microsoft Office, particularly Excel and PowerPoint.
- Previous experience in administration, business operations, procurement, executive support or a related area is preferred, but we are open to candidates with transferable experience and strong potential.
- Fluency in English is required; Chinese/Mandarin would be an advantage due to the international nature of the role.
What We Offer
- The opportunity to work closely with the management team and gain broad exposure to the operations of an international logistics business.
