Job Opening: SERVPRO of Kennett Square/Oxford – Job File Coordinator

This is a full-time, in-person position located in Nottingham, PA.

Primary Responsibilities

  1. Monitor job file status to ensure documentation accuracy.
  2. Communicate daily with production crews to capture required documentation.
  3. Create and review estimates based on scope and photos.
  4. Maintain an accurate Work in Progress board for all active projects.
  5. Ensure client requirements are followed.
  6. Maintain communication with managers.
  7. Review timestamps and data points for accurate reporting.
  8. Complete and review job file documentation for final upload and audit.
  9. Perform internal project audits.
  10. Handle job close-out activities, including coordination with AR for invoicing.
  11. Coordinate subcontractors on job sites.
  12. Assist other departments as needed.

Position Requirements

  1. At least 2 years of administrative or office experience.
  2. Experience with billing, quality assurance, and scheduling is a plus.
  3. Experience in the service industry is a plus.
  4. Polite, confident, and excellent customer service skills.
  5. Strong organizational skills and attention to detail.
  6. Ability to work in a fast-paced, team-oriented environment.
  7. Proficiency in Microsoft Office (Outlook, Word, Excel, QuickBooks).
  8. Ability to learn new software, including Xactimate and proprietary systems.
  9. Minimum education: HSD/GED.
  10. Ability to pass a background check.

Work Hours

40 hours/week with potential overtime. Hours are from 8 a.m. to 5 p.m.

Physical and Skill Demands

This role involves working in a fast-paced office environment. Some filing is required, which may involve lifting files, opening cabinets, and standing or bending as necessary.
