About the Role: You will provide high-level professional, confidential secretarial and administrative support to the Directors of the Combined Authority. This includes managing diaries and inboxes, coordinating meetings, preparing documentation, and serving as a key liaison with both internal and external stakeholders.

Key Responsibilities

  • Executive Support
    • Provide high-level specialist support to Directors.
    • Manage Directors’ inboxes and diaries, prioritising, responding, or delegating appropriately.
    • Draft responses and proofread reports, briefings, and official correspondence.
    • Ensure Directors are fully prepared for meetings, including provision of papers and briefing notes.
  • Meeting & Secretariat Duties
    • Provide professional secretariat support: prepare agendas, draft accurate minutes, and track follow-up actions.
    • Ensure coordination and communication between Directors, internal teams, and external contacts.
    • Commission and manage briefing documents and reports as required.
  • Administrative Duties
    • Book cost-effective travel and accommodation using internal systems.
    • Organise conferences/events, including venues, itineraries, catering, and logistics.
    • Ensure documentation and administrative processes comply with corporate and governance standards.
  • Stakeholder Management
    • Act as the first point of contact for Directors, managing enquiries from stakeholders such as: The Mayor’s Office, Councillors and MPs, Local Authority partners, Government officials.
    • Attend meetings and proactively follow up on actions.
    • Build and maintain strong working relationships internally and externally.

Person Specification

  • Knowledge & Experience
    • Educated to GCSE level (Maths & English) or equivalent.
    • Proven experience in a similar Personal Assistant or Executive Support role.
    • Understanding of the political and operational context of public sector organisations.
    • Experience handling sensitive and confidential information.
