Schedule: Full time, 40 hours per week—Monday‑Friday
As a Case Management Administrator within our Justice and Immigration division, you’ll play a vital role in supporting the Offender Management Unit (OMU) at HMP Fosse Way. You’ll provide high‑quality administrative support to Prison Offender Managers, ensuring accurate, timely and secure handling of sensitive case information. This is a detail‑focused and responsible role where confidentiality, organisation and professionalism are essential. Your work will help create impactful solutions by ensuring offender records are accurate, statutory processes are followed, and key stakeholders receive the information they need on time.
What you’ll do as a Case Management Administrator:
- Provide clerical and administrative support across all areas of the Offender Management Unit.
- Maintain accurate prisoner records on relevant computer systems and local recording systems.
- Work closely with Prison Offender Managers and Supervisors to support transfers, receptions, discharges and licence production.
- Communicate effectively with internal teams and external agencies including Police, Probation, Courts and other prisons.
- Ensure all documentation is handled securely and confidentially at all times.
- Produce reports and maintain accurate audit trails of actions taken.
- File, archive and manage prisoner records in line with security and data protection requirements.
- Support sentence planning, parole, categorisation and release processes in line with PSI guidelines.
- Demonstrate flexibility by supporting different OMU functions as required.
Specialist Case Administration Responsibilities:
- Sentence calculations, completing Level 1 training and maintaining competency thereafter.
- Parole administration, including identifying eligible prisoners, compiling parole dossiers and liaising with the Parole Board.
- Public protection activity, including monitoring communications and supporting risk management meetings.
- Custody administration, including court lists, video link bookings and liaison with escort providers.
- Home Detention Curfew (HDC) processes, identifying eligible prisoners and managing documentation in line with PSO and PSI requirements.

Vetting And Checks:
An Enhanced DBS check is required for this role. This includes spent and unspent convictions, cautions, and any relevant information held by local police, in accordance with the Rehabilitation of Offenders Act and safeguarding requirements. You will also complete an Occupational Health Questionnaire to allow us to provide any support needed for you to succeed in the role.
