  • Working Hours: 40 hours per week, Monday to Friday

Role Summary

This is an exciting opportunity for a motivated and ambitious Scheduling Coordinator to support the delivery of reactive, planned, and void maintenance services across a large and complex accommodation portfolio. Reporting to the VIVO Scheduling Manager and based within the Regional Service Centre, you will sit at the heart of operational delivery, ensuring work is planned, coordinated, and completed professionally, safely, and on time.

Key Responsibilities

  • Support the flow of work to dedicated teams of on‑site operatives, scheduling efficiently and delivering in line with safe working practices and service expectations.
  • Maintain accurate, timely updates across operational systems to maximise efficiency and visibility.
  • Coordinate customer solutions, manage feedback, and ensure every customer interaction reflects a high standard of service and care.
  • Collaborate with colleagues across the Regional Service Centre, on‑site teams, service partners, and clients to maintain strong daily operational relationships.
  • Support resource planning activities, including holiday rota coordination and identifying where additional resources may be required to meet demand.
  • Maintain data accuracy, produce reports, and ensure all system information is up to date and reliable.
  • Manage priority reactive tasks, organising, prioritising, and adapting to support operational success.
  • Liaise with the National Accommodation Model provider to maintain effective working relationships and ensure continuity of service across the wider network.

What you’ll need

  • Proven experience in scheduling within a planned and maintenance or facilities management environment.
  • Strong administrative capability and confidence using Microsoft Office applications, particularly intermediate to advanced Excel skills.
  • Grounding in safe working practices within a building or FM environment.
  • Basic GCSE‑level English and Mathematics skills.
  • Excellent communication, collaboration, and relationship‑building skills across multiple stakeholders.
  • Strong analytical skills and attention to detail, with the ability to produce concise reports and support data‑driven decision‑making.
  • Capacity to prioritise effectively, anticipate workload demands, and handle ambiguous or changing situations with a focus on positive outcomes.
