Working Hours: 37.5 Hours Per Week, Monday to Friday (8:00AM – 4:00PM)
About the Role: Working closely with the Area Manager, Service Managers, contractors, and MOD stakeholders, you’ll coordinate and support the delivery of Additional Works projects valued up to £100k. You’ll be at the heart of operations — managing project tracking, coordinating communications, maintaining key systems and documentation, and ensuring projects move smoothly from allocation through to completion. A large part of the role will focus on managing and closing down work orders, maintaining the Southwest Project Tracker, and raising SONs through CAFM systems. You’ll regularly liaise with stakeholders and clients, support project meetings through minute taking and action tracking, and respond to a high volume of queries and project chasers daily. This is a busy and dynamic environment where priorities can change quickly, so the ability to stay organised, flexible, and use your own initiative is essential. You’ll need to be comfortable working across multiple systems and confident using Microsoft Office applications, particularly Excel, alongside CAFM systems and other IT platforms. You’ll work alongside a supportive administration team and wider operational colleagues. The role is primarily site-based at CTCRM Lympstone, although there may be travel required depending on business needs.
What We’re Looking For: We’re seeking someone who thrives in a busy environment and enjoys balancing multiple priorities while delivering excellent customer service. You’ll ideally be educated to NVQ Level 2 standard or have equivalent practical experience, with previous administration experience essential. Experience within Facilities Management or operational support environments would be highly desirable. You should possess strong Microsoft Office skills, particularly Excel, with it being desirable to have experience using CAFM systems. Confidence with IT systems and learning new processes is important, as is the ability to communicate professionally with internal teams, clients, contractors, and stakeholders at all levels. The ideal candidate will be calm under pressure, highly organised, adaptable, and proactive, with excellent problem-solving and prioritisation skills. A full UK driving licence is essential. Due to the nature of the role, successful candidates will also be required to achieve BPSS security clearance.
