M&M Supply is recruiting on behalf of a Multi Academy Trust for a highly organised and professional Senior Administrator to support the day-to-day operations of a busy academy setting. This key role provides administrative, HR, financial, and safeguarding support to the Principal and wider staff team and plays a vital part in ensuring the smooth running of the academy while supporting pupils, families and external stakeholders.
Key Responsibilities
- Administration & Office Management
- Provide high-quality administrative and secretarial support to the Principal and staff
- Act as the first point of contact, managing reception, calls and visitors in line with safeguarding procedures
- Organise meetings, manage diaries and take accurate minutes
- Maintain accurate records in line with data protection (GDPR) requirements
- Manage incoming/outgoing post and general office organisation
- Safeguarding & Compliance
- Maintain and update the Single Central Record (SCR)
- Ensure safeguarding procedures are followed for all visitors and staff
- Support compliance with safeguarding and child protection policies
- HR & Payroll Support
- Provide administrative support during recruitment processes (ID checks, interview documentation)
- Assist with staff records, absence tracking and training logs
- Support payroll processes, including overtime, expenses and mileage claims
- Finance & Resources
- Administer petty cash and support budget monitoring
- Process orders, manage stock and maintain inventory of academy resources
- Support financial procedures in line with Trust policies
- Pupil & Data Administration
- Maintain pupil records, admissions and leavers’ processes
- Support attendance, registers, timetables and reporting systems
- Produce data reports for leadership, local authorities and external bodies (Ofsted, DfE)
Key Skills & Experience
- Essential
- Strong administrative experience in the education sector desirable
- Experience in a front office / reception environment
- Excellent attention to detail and organisational skills
- Confident using Microsoft Office (Excel, Outlook, SharePoint)
- Strong communication skills with staff, parents and external professionals
- Ability to manage multiple tasks and meet deadlines under pressure
- Experience handling confidential and sensitive information
- Desirable
- Experience working in a school, SEN or academy setting
- Knowledge of school MIS systems
- Experience supporting HR or finance processes
Qualifications
- GCSEs (or equivalent) including English and Maths (Level 2 minimum)
- Relevant administrative or business qualifications (desirable)
