A bit about the role
As an Event Co-ordinator, you will support a programme of exclusive, market leading events, projects and customer engagement strategies for our customers across our Manchester Exchange Store. Each experience will ensure our customers receive the most personal level of service, extraordinary experiences, and tailored communications across all touchpoints.
You will work on multiple, simultaneous projects, whilst managing various stakeholders and interacting with teams across the business. The role will work closely with the central and regional events team to deliver events and experiences. You won't be afraid to push the boundaries, ensuring that Selfridges remains a leader in experiences. You will be an excellent communicator, who will keep everyone up to speed and will bring teams and stakeholders on the journey with you along the way.
Key Responsibilities
- Support the Events team to curate, develop & deliver strategic communications, events, and experiences for our customers.
- Work as part of a team to support and deliver events and activities to an exceptionally high standard.
- Track and document all events including RSVPs, attendance, feedback, successes, and learnings.
- Brief event communications that support newsletter creation and delivery, working closely with the marketing and PR teams.
- Tracking project budgets and costs, including raising POs and invoices, and following through to budget reconciliation.
- Communication of projects to relevant stakeholders, including the development of project packs, critical paths, briefing documents, developing agendas and creating timelines.
- Develop and maintain a robust network of strong working relationships across the business and externally, including partners and suppliers.
- Develop and maintain regular meetings, coordinating between head office and store retail functions, to ensure streamlined communication and workflow.
- Negotiation with vendors and creating contracts/agreements with the in-house legal team.
- Ensure that all reporting is up to date for internal stakeholders, including post event wash-ups and trade reports.
- Support team on research and presenting materials for projects, including new suppliers.
- Ensure all events meet health and safety, security, GDPR and data security standards with all key stakeholders.
- Brief in Graphics and Creative resources in a timely manner, for events collateral and builds.
- Support the delivery of events on the day, and coordinate the physical set up, staff management, hosting and production.
- Client/brand liaison for the duration of projects.
A bit about you
- Experience in Events including production and communications (preferably Luxury retail).
- Great and natural ability to network, develop internal/external contacts and working relationships across a diverse range of functions.
- Excellent written and presentation skills.
- Excellent planning and organisational skills.
- Strong time management in a fast paced and multi-faceted environment.
