Key Responsibilities

  • Traffic Management & Resource Coordination
  • Brief Allocation: Support the allocation of creative briefs across teams, ensuring work is assigned in line with agreed priorities, resource availability, and delivery timelines.
  • Brief Coordination: Review incoming briefs for completeness, flagging any missing information and ensuring they are routed to the appropriate teams and individuals.
  • Workflow Tracking: Monitor briefs as they move through the creative process, updating schedules and highlighting any risks to timelines or resource capacity.

Monitoring: Maintain an up-to-date view of team workloads, identifying potential resource clashes or bottlenecks and escalating concerns to senior team members where appropriate.

  • Priority Management: Assist with reprioritising work based on changing business needs, communicating updates clearly to relevant stakeholders.
  • Freelance Coordination: Support the onboarding and engagement of freelance resource when required, including raising purchase orders and maintaining associated documentation.

  • Cross-Team Collaboration: Build positive working relationships across Creative, Marketing and wider business teams to ensure projects move smoothly through the workflow.
  • Clear Communication: Keep teams informed of scheduling updates, deadlines, and changes to resource plans, ensuring expectations are managed effectively.
  • Problem Escalation: Identify and communicate potential scheduling or capacity issues early, escalating risks to the Creative Operations Manager where needed.
  • Team Support: Provide administrative and coordination support to help maintain an efficient and organised creative workflow.

  • System Maintenance: Support the day-to-day upkeep of monday. com boards, ensuring project information, statuses and timelines remain accurate and up to date.

  • Template Management: Assist with maintaining brief templates, intake forms to ensure consistency across teams.
  • Reporting: Update dashboards and reports that provide visibility of project status, teamwork loads and delivery timelines for stakeholders and leadership.
  • Data Accuracy: Ensure project data is maintained consistently to support reliable reporting and resource planning.
  • You Will Have
  • Experience in a traffic coordination, project coordination, creative operations or administrative role within a fast-paced environment.
  • Excellent organisational skills with the ability to manage multiple tasks and competing priorities.
  • Strong attention to detail and a proactive approach to keeping projects and systems up to date.
  • Clear and confident communication skills, with the ability to work effectively across different teams.
  • An understanding of resource planning and the importance of balancing workloads to meet deadlines.
  • Experience using workflow or project management software, with exposure to monday. com desirable.
  • Good working knowledge of Microsoft Office applications.
  • A positive, adaptable and collaborative attitude with a willingness to learn and develop.
  • The ability to remain calm under pressure and elevate issues appropriately when required.
