We are seeking a highly organised, proactive and versatile Business Support Officer to play a key role in the smooth running of our charity. This is a varied and pivotal position supporting senior leadership, managing office operations, and coordinating administration across finance, HR, IT and governance functions.

Job Summary

This role provides comprehensive support to senior leadership and the organisation, overseeing daily office operations, governance processes, financial administration, IT systems, HR functions and health & safety compliance.

Responsibilities

  • Executive & Administrative Support
    • Provide administrative support to the CEO and project teams
    • Manage correspondence, enquiries, calls and filing systems
    • Support staff and volunteers with general administration
  • Office & Operations Management
    • Lead day‑to‑day office operations and systems
    • Manage meeting rooms, bookings and events
    • Liaise with landlord and manage facilities
    • Maintain office supplies and ensure security procedures
  • Governance & Board Support
    • Support the Board of Trustees with meetings and documentation
    • Maintain statutory records and submit returns
    • Support AGM and governance processes
  • Finance Support
    • Process invoices, expenses and financial records
    • Support procurement and supplier coordination
    • Maintain accurate financial data
  • IT & Systems Coordination
    • Liaise with IT providers and manage equipment
    • Support staff with IT queries and onboarding
    • Maintain systems such as SharePoint and the customer relationship management (CRM) system
  • HR & Recruitment Support
    • Support recruitment and onboarding processes
    • Maintain HR systems and records
    • Coordinate inductions and compliance
  • Compliance & Health & Safety
    • Lead Health & Safety processes and risk assessments
    • Ensure GDPR and regulatory compliance
    • Act as Fire Marshal / First Aider (training provided)
