This is an exciting opportunity to join an ambitious and growing business within the private rental sector. The role requires a savvy individual who has a keen eye for detail, is efficient and possesses a passion for delivering exceptional customer service. Resident Contracts Executive plays a key role in managing the end-to-end tenancy process, from pre-arrival checks through to move-in and ongoing tenancy administration. This role ensures compliance with legal requirements, accurate financial processing, and smooth customer experience for our residents.
Key Role Responsibilities:
- Conduct all pre-arrival checks, including tenant referencing and Right to Rent verification.
- Prepare and issue tenancy and licence agreements, ensuring all details are accurately recorded in the CRM system.
- Confirm that all required documentation is signed and payments are received prior to check-in.
- Collaborate closely with the Sales and Operations teams to deliver a seamless move-in experience for residents.
- Manage rent schedules, including uploading and updating records in line with company procedures.
- Reconcile incoming payments, ensuring they are correctly allocated to tenant accounts.
- Investigate and resolve discrepancies, including incorrect payment amounts or missing details.
- Ensure tenants have active Direct Debit arrangements and address any payment-related issues promptly.
- Process refunds and adjustments as required.
- Monitor monthly rental payments, follow up on overdue accounts, and take appropriate action in line with company debt policies.
- Follow the company's Debt Standard Operating Procedure (SOP) and liaise with solicitors, councils, and third-party debt management partners.
- Maintain accurate records of tenants in the legal debt process and ensure updates are tracked.
- Manage council tax processes and communication with local authorities.
