We are working with a newly formed specialist insurance platform building a market-leading capability to provide insurance capacity for Managing General Agents (MGAs) across the US, UK and European markets. This is an exciting opportunity to join at an early stage of growth within a fast-paced London Market environment. The business is seeking an exceptional Operations Manager to support the executive team and oversee day-to-day operations. This is a broad role that goes beyond traditional EA support, acting as a central coordination hub across leadership, advisors and internal teams. You will play a key role in building scalable systems, processes and office infrastructure to support the platform’s continued growth.
Key Responsibilities
- Executive Support
- Manage diaries, travel and expenses for the Executive Committee (ExCo)
- Act as Secretary to ExCo, including agendas, papers, minutes, actions and follow-ups
- Coordinate meetings, attend where required, and capture key notes
- Anticipate priorities and proactively manage executive workloads
- Prepare documentation and communications for internal and external use
- Provide wider administrative support across the business
- Maintain strict confidentiality at all times
- Marketing & Communications
- Act as internal contact for marketing and communications activity
- Liaise with external PR and investor relations partners
- Coordinate LinkedIn updates, presentations and branded materials
- Support planning and logistics for events and conferences
- HR Support
- Coordinate onboarding, offboarding and performance processes
- Support HR administration and liaise with external advisors
- Assist with payroll inputs and HR systems administration
- Handle sensitive HR matters with discretion
- Board & Investor Support
- Prepare and coordinate board packs and reporting materials
- Manage board and investor reporting timelines
- Ensure accurate and timely distribution of documentation
- Office Management
- Oversee day-to-day office operations and visitor coordination
- Liaise with serviced office providers
- Support basic IT, equipment and office setup requirements
- Client & Partner Support
- Provide operational coordination for underwriting teams and MGA/reinsurer partners across US, UK and Europe
- Support preparation of client-facing materials and communications
- Ensure timely delivery of information to clients and partners
- Projects & Operations
- Support development of scalable operational processes
- Coordinate cross-business projects and workstreams
- Work with analysts and external consultants on delivery
- Identify and support process improvements and automation
Person Specification
- Strong, proven experience in an EA or Operations role
- Experience supporting senior leadership in a fast-paced environment
- Highly organised with strong attention to detail
- Proactive, solutions-focused and able to manage multiple priorities
- Confident working with senior stakeholders and external partners
- High level of discretion with sensitive information
- Collaborative, hands-on team player
- Experience within insurance or financial services advantageous
