A proactive and highly organised professional with experience in project management or resourcing within a professional services environment. You will play a dual role (70% Resourcing Manager, 30% Finance Assistant), ensuring our 40-person consultancy runs like clockwork by balancing consultant workloads with essential financial administration.
About us: Here at Seismic we have a two-part vision: to help 10 million people join the shift by 2030 and to be the best place we have ever worked. We know that’s an ambitious vision. That means challenging ourselves and our clients every day, striving for growth, and delivering real impact. We foster a culture of continuous learning and mutual support, ensuring every changemaker feels empowered to grow and contribute their best. We’re a close-knit team, working together towards a shared vision.
The role and its responsibilities: We are looking for a central "hub" for our team—someone who loves the puzzle of resource management and has a keen eye for financial detail. You will own the flow of work across the agency, ensuring our consultants are effectively utilised while supporting our finance function to keep projects on track financially.
- Key responsibilities include:
- Resourcing & Finance:
- Taking a commercial approach to prioritising and allocating capacity across competing demands, including sales, delivery and internal commitments.
- Managing the end-to-end resourcing process, matching the right consultants to the right projects based on skills and availability.
- Leading weekly resourcing meetings to identify capacity risks, bottlenecks, or under-utilisation.
- Acting as the bridge between the sales team (incoming work) and the delivery team (current capacity).
- Maintaining and optimising our resource management tools to ensure a "Single Source of Truth" for all project scheduling.
- Owning the resource (Utilisation) reports, taking a forward looking view to give the Leadership Team the information to make resourcing, recruitment and strategy decisions.
- Finance Assistance:
- Monitoring project "burn rates" to alert Project Managers when budgets are running ahead of plan.
- Tracking and maintaining oversight of budget adjustments, ensuring any changes are appropriately approved.
- Supporting cash collection by tracking aged debtors and following up on overdue invoices.
- Assisting with project invoicing and tracking expenses against project budgets.
- Managing the purchase ledger, ensuring supplier invoices are processed in a timely manner.
- Supporting the month-end process by ensuring all consultant timesheets are accurate and submitted on time.
About you: You believe that humanity and businesses need to make a seismic shift in the right direction and want to apply your consulting and analytical capabilities to help make that happen. At the same time, you want to work in a friendly, collaborative and empathetic team who are delivering impactful projects for high-profile clients. You will especially enjoy working at Seismic if you have a growth mindset and are comfortable with uncertainty, as we are a fast-growing, agile and evolving business.
To be successful in this role you would need the following attributes:
- You believe that businesses need to make a seismic shift in the right direction and want to apply your organisational talents to help make that happen.
- You thrive in fast-growing, agile environments and are comfortable with the "just right" amount of time pressure that comes with agency life.
- Agency Experience: Proven experience in a traffic, resourcing, or project management role within a fast-paced agency or professional services environment. You should be able to show improvements in KPIs under your watch.
- Organisational Mastery: A track record of juggling multiple priorities and projects without dropping the ball. You love refining the tools and software you use, including AI and automation, to make continuous improvements.
- Numerical Accuracy: Strong attention to detail with experience in basic financial administration or budget tracking.
- Commerciality: You understand the balance required to achieve our business sales objectives whilst meeting our utilisation expectations and ensuring our team are well supported.
- Communication Skills: You are a "people person" with a knack for building relationships and the confidence to negotiate resource conflicts across different teams.
- Growth Mindset: You are excited by the opportunity to join a high-performance, purpose-driven team and are comfortable evolving as the business grows.
- Pace & ownership: Comfortable operating at pace in a growing business, managing a portfolio of clients and projects.
You are proactive, have a keen eye for detail and enjoy juggling multiple projects and priorities and enjoy just the right amount of time pressure to help keep productive and focused. You are a ‘people person’ with a knack for building relationships. You are more excited by the opportunities of working for a young, fast growing, ever evolving, purpose-driven business than for a large corporate.
