POSITION OVERVIEW

Working within SEGA Europe’s EMEA Central Marketing team, the Events Apprentice will play a key supporting role in the planning, preparation, and delivery of SEGA’s presence at consumer and industry events across the region. These may include large-scale exhibitions (Gamescom, Japan Expo, MCM Comic Con), community events, press sessions, hands‑on demos, and partner activations. This apprenticeship is designed for someone at the beginning of their career who is organised, proactive, and eager to learn how events in the video games industry are created from concept to show floor. You don’t need prior events experience, but you will need strong IT literacy, confidence working with gaming hardware, excellent time‑management, and a genuine interest in delivering great experiences for players and partners. You will work closely with the Events Manager, wider Central Marketing team, studio brand teams, Product Marketing, PR, Community, Licensing, and a range of external suppliers. The role also involves occasional domestic and international travel, and weekend availability depending on event requirements.

KEY RESPONSIBILITIES

  • Event Support & Coordination
    • Support the Events Manager with planning tasks, timelines, and documentation for upcoming shows.
    • Help maintain event trackers, hardware lists, shipping logs, staffing plans, and internal briefing documents.
    • Assist with scheduling meetings, capturing notes, sharing actions, and keeping internal teams updated.
    • Help coordinate domestic and international deliveries, equipment movements, merchandise stock, and stand materials.
    • Work with vendors to gather quotes, confirm small orders, and support production schedules.
    • Assist with preparing event kit, labelling, packing, and inventory management.
  • Technical & Hardware Assistance
    • Support the setup, testing, and basic troubleshooting of gaming hardware (PCs, consoles, peripherals).
    • Learn to configure software builds, networked demo setups, and simple AV equipment under guidance.
    • Help maintain internal records of hardware usage, demo stations, and event configurations.
  • On‑Site Event Support
    • Provide hands‑on assistance during event builds, show opening, live operations, and de‑rigs.
    • Help supervise demo stations, manage queues, assist visitors, and keep the stand presentable.
    • Work with staff, partners, and agencies to ensure smooth day‑to‑day running of the booth.
    • Follow health & safety guidance and escalate issues appropriately.
  • Creative & Administrative Support
    • Title research to assist with event theming and designs.
    • Assist with gathering assets for signage, briefing packs and presentations.
    • Help prepare simple documents, spreadsheets, and slides used for internal planning and reports.
    • Capture images, notes, and feedback during events to support post‑event analysis.
    • Help compile event feedback, KPI figures and summaries into internal reports.
    • Contribute to documenting learnings and developing best practices for future events.

KNOWLEDGE, SKILLS & EXPERIENCE

  • Strong interest in video games, events and live experiences.
  • Good IT literacy: confident with Microsoft Office/Google Workspace and quick to learn new tools.
  • A working knowledge of gaming hardware (PCs and/or consoles) and enthusiasm for developing further technical skills.
  • Highly organised with excellent time‑management and the ability to prioritise tasks.
  • Clear and confident communication skills (written and verbal).
  • Proactive, reliable and comfortable working both independently and as part of a team.
  • Willingness to travel and work flexible hours when required for events.
  • Positive attitude, resilience and a genuine eagerness to learn.
  • Experience in customer service, retail, hospitality or any role involving teamwork.
  • Familiarity with AV equipment, streaming setups or PC building.
  • Experience at conventions, LAN events, esports tournaments or community events (attending or volunteering).

This role offers the opportunity to complete a Level 3 Event Coordinator Apprenticeship. The apprenticeship runs alongside your day‑to‑day responsibilities and typically takes 15 months to complete. As an apprentice, you will benefit from structured on‑job learning, dedicated training and ongoing support to develop the knowledge, skills, and experience required to carry out the duties of the role. The programme includes monthly tutor‑led, one‑day seminars, regular meetings with a dedicated Skills Coach to help embed your learning and support from a Learner Progress Advisor who will conduct formal quarterly reviews and provide additional guidance where needed. You will attend online classes and workshops and have a dedicated day each week for study, coursework and training. A key responsibility of this role is the successful completion of the apprenticeship programme, leading to the achievement of the Level 3 Event Coordinator qualification.
