  • We're recruiting for a

Business Operations Coordinator to provide essential administrative, operational, procurement, and vendor management support across Tribal Business Solutions.

In this role, you'll help ensure the smooth running of internal processes, maintain accurate systems and records, and coordinate effectively with suppliers, customers, and internal teams.

Working closely with the Business Operations Manager, you'll support ITSM and contract management, procurement and order processing, vendor programmes, financial administration, and customer communication.

This position is central to maintaining consistent day to day operations and enabling the wider IT Services team to deliver high quality services to all customers.

Location: Hockley Hours: 37 hours a week. Monday to Thursday 8.30am to 5pm, Friday 8.30am to 4.30pm Contract: Full Time - Permanent

Key Responsibilities

  • Deliver day to day administrative support across Tribal.
  • Maintain logs, documentation, and operational records.
  • Maintain accurate ITSM data including customer details, contracts, renewals, support schedules and operational notes.
  • Manage end to end order processing including purchase orders, quotes, invoices and deliveries.
  • Coordinate with suppliers and distributors to confirm availability, lead times and fulfilment.
  • Work with Finance to support reconciliations and smooth month end processes.
  • Act as a key point of contact for suppliers regarding orders, renewals, pricing and general queries.
  • Support management of vendor partner programmes, including certification tracking, membership compliance, and benefits administration.
  • Assist with supplier onboarding and maintain up to date vendor documentation.
  • Assist with customer engagement activities, including collecting operational data, preparing service review content and updating customer documentation.
  • Ensure customer related information supports tracking of service performance, SLAs, KPIs and satisfaction metrics.

Skills and Experience

Essential

  • Experience in administrative, operational support or office coordination roles.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Good written and verbal communication skills.
  • Experience using CRM/ITSM systems.
  • Competent in financial administration (POs, quotes, invoicing, reconciliations).
  • Confidence engaging with both customers and suppliers.

Desirable

  • Experience in an IT, MSP or similar environment.
  • Familiarity with asset registers and lifecycle processes.
  • Understanding of supplier/vendor management or partner programme requirements.
