We are looking for a London based Project Manager who can bring experience and qualities to enhance our already talented team working efficiently across multiple projects.

Project Management

  • Manage small scale projects autonomously from start to finish from brief through to delivery, constantly prioritizing and staying on top of all aspects of the project
  • Assisting in the project management of larger scale projects
  • Ability to manage own and set deadlines
  • Communicate confidently with clients over email on set tasks and assist in meetings pro-actively
  • Support on-site management for events, installations and de-rigs taking on specific assigned roles
  • Ensures standard agency policies and procedures are kept throughout the account
  • Managing the projects of multiple clients, assisting on up to 5 projects simultaneously, all at varying stages of design, production or installation
  • Good understanding of the creative design process and a strong knowledge of production techniques, suppliers and materials (including reading technical drawings)
  • Supporting on client calls and ensuring all parties are kept up to date with project progress and status
  • Good understanding of various event projects and the different processes and procedures involved ie live stream, festival, party, summit, conference, pop-up
  • Working with the design and production teams, external suppliers, contractors and freelancers to ensure that deadlines are achieved, and the client brief is met
  • Effective and efficient use of key project documentation such as critical paths, budgets, production schedules, status reports, agendas
  • Confident on-site support for events, installations and de-rigs. Including management of 3rd party suppliers/ event staff

Client Management

  • Help in building and maintaining a positive relationship with clients and ensuring they receive the best possible service, and that positive feedback is consistently received
  • Manage and maintain accounts for pillar clients, with a strategic approach to client retention
  • Creation of detailed and accurate contact reports to help manage clients and tasks effectively

Commercial Acumen

  • Effectively communicates relevant project finance information to superiors
  • Manages the costs effectively across all projects ensuring you stick to budget and improving on GP where possible
  • Able to build accurate budgets which consider all aspects of a project
  • Effectively and diligently tracks project GP creating reports and creating contingency plans
  • Managing external and supplier and freelance invoices including reconciling to specific set budget pots

Team Development & Communication

  • Able to work as part of a team taking on set tasks and receiving feedback to ensure growth and development
  • Demonstrating excellent communication skills when liaising with clients, suppliers and internally; ability to communicate clearly and concisely in person, over the phone and via email, demonstrating diplomacy and good negotiation skills
  • Proactively provide accurate project status updates and contact reports (where applicable) for line manager and the wider team (e.g. weekly status reports, creative status updates and contact reports following client/third party meetings/calls)
  • Solution focused with a positive outlook; ability to juggle a number of projects simultaneously, resourceful, highly organised and a good team player
  • Assistance with managing more junior members of the team (PA and intern level), setting tasks and ensure quality is maintained

Key Skills

  • Demonstrates excellent communication skills when liaising with clients, suppliers and internally; has the ability to communicate clearly and concisely in person, over the phone and via email, demonstrating diplomacy and good negotiation skills
  • Possesses high attention to detail
  • Passionate, self-motivated with the ability to show initiative, willing to immerse themselves in the brands they work with
  • Energetic, self-motivated, consistently proactive and showing initiative; able to manage their own time well
  • Mac literate in Microsoft Word, Excel, Outlook
  • A consistently calm and patient approach, able to remain organised and positive when dealing with multiple requests

Experience required

  • An experienced Project Manager with previous experience assisting to deliver projects up to value of 500k
  • Proven client / supplier management, budget creation & management through to onsite delivery.
  • Previous experience in a fast-paced agency desirable.

This is an office-based role that will require you to spend time in meetings and briefings, as well as staying in close contact with clients. It can be demanding, but very rewarding! Working hours will be standard office times; however, deadlines and installations may stretch this further.
