An exciting opportunity has arisen for an experienced Office Manager to join our friendly team at our Head Office on a full time, permanent basis. The successful candidate will be proactive, highly organised, have excellent attention to detail, strong communication skills (written and verbal) and be able to build strong professional relationships. The position will involve a variety of duties and you will often find yourself working on more than one task at a time.
About the role:
- 40 hours a week, 8.30am to 5pm Monday to Friday
- Be the first point of contact for anyone contacting Westgate Healthcare Head Office.
- Act as a front-line ambassador for the Company, providing a warm and professional welcome to visitors.
- Support the smooth and efficient day-to-day operation of Head Office.
- Oversee the appearance, security and general tidiness of the office, including notices, posters, plants, coffee machines and other office facilities.
- Receive and check orders and post, distributing them to the relevant departments or individuals.
- Manage several email accounts and respond to email and telephone enquiries, providing information in a timely, professional and efficient manner.
- Carry out daily checks of the cleaning schedule, reporting and following up any issues with the relevant Account Manager and escalating where required.
- Conduct monthly reviews of the Head Office facilities dashboard, liaising with the Facilities Team to ensure checks are up to date and arranged as required.
- Manage the electronic room-booking system for the Board Room, ensuring that equipment is set up correctly ahead of meetings.
- Support the effective management of Health and Safety at Head Office, including maintaining relevant records and documentation and reporting and recording accidents and incidents.
- Ensure that fire procedures are followed, carry out weekly fire alarm testing and arrange fire drills as required.
- Support the management of IT equipment and asset records across the Group.
- Manage the Group’s fleet vehicles, ensuring that insurance, MOTs, servicing and vehicle tax are in place and up to date.
- Support staff initiatives and events, including organising the annual Christmas party and coordinating monthly staff lunches.
- Monitor and maintain office stationery supplies, ensuring stock is replenished as required.
- Organise and maintain the filing and archiving of relevant Head Office records and documents.
- Act as a point of contact between the Management Company for the Business Park and Head Office, reporting any issues and ensuring they are resolved.
- Open and close the office as required and ensure that staff sign in and out of the building.
- Carry out any other reasonable duties within the function of the role and support the efficient running of the Company.
