About the Role
Seed Talks is looking for a highly organised, people-focused Event Operations Assistant to help us run live events across the UK and Ireland. Based in London, you'll support the Operations team across the full events calendar, assisting with admin, communications and logistics that keep our events running smoothly, whilst getting up to speed with how we operate on the ground in London. As you develop your knowledge of our events and ways of working, you'll take on increasing responsibility in London, with the goal of becoming our dedicated London City Coordinator. This is a real opportunity to grow into a meaningful role with genuine ownership. This is a practical, hands-on role for someone who loves live events, thrives on organisation, and is confident managing people and lots of moving parts. A keen interest in Audio-Visual standards would help you stand apart, but is not essential. You may be required to assist at events in other cities at short notice and an overnight stay and expenses will be provided, if needed.
Responsibilities
- Send advance emails to speakers, staff and venues across all locations
- Arrange travel and accommodation for speakers
- Upload events to ticketing platforms and maintain the events calendar
- Prepare introduction slides for events (Google Slides)
- Reply to customer enquiries and escalate serious issues where appropriate
- Track and manage communications with speakers, venues and staff
- Research new venues and speakers across the UK and Ireland
- Data entry and reporting (Google Sheets)
- Brainstorm content and speaker ideas
London Events Coordinator
- Support the running of London events, learning our operational standards with a view to leading them independently as your role develops
- Assist with managing as well as training and development of London event staff
- Use these skills to level up our event hosts nationwide
- Handle guest queries with professionalism and warmth
- Represent Seed Talks with a calm, confident and friendly demeanor
- Provide post-event feedback to the Operations Team
- Help create bespoke event schedules and briefing documents for larger events
About You
First and foremost, we're looking for someone with a genuine passion for live events and the topics we programme. You'll be adept at problem-solving, able to work independently in a methodical and meticulous way, with a high attention to detail. You should be comfortable managing multiple projects without dropping the ball; be highly adept at communicating issues and task progress within the Operations Team; as well as liaising with other departments to sustain and grow our portfolio of events. You'll be a strong fit if you:
- Are London-based and available for regular evening event work (1-2 per week)
- Have experience in events, theatre, live production, hospitality or a similar field
- Have public speaking experience and have hosted events of a similar nature
- Are highly organised, reliable and accurate under pressure
- Communicate clearly and confidently with multiple stakeholders
- Enjoy leading small teams and building rapport quickly
- Can conduct research efficiently and effectively
- Are caring and considerate in representing us to our speakers and attendees alike
- Have a decent working knowledge of Google Workspace
- Are interested in implementing AI workflows to your working day to improve efficiency
- A keen interest in Audio-Visual standards would help you to stand apart in your application, but is not essential for the right candidate. Event creation or business development experience is a big plus.
