We're looking for a highly collaborative and motivated Office Manager to join our People team.
We see this as a role where you'll rapidly develop your skills to take direct responsibility for keeping our teams equipped, our software tools well-administered, and our workplace running smoothly in London and across our smaller offices and remote environments in different timezones.
This is an individual contributor levelled role, ideally suited to someone that has spent time in 2 or 3 different environments and is familiar with the general running of a 150+ person scaling business.
It is important that you can demonstrate previous ownership of the reliable and accurate delivery of IT provisioning (laptop setup for new joiners etc), IT asset management, software licence administration, and workplace operations - escalating more complex decisions to the Head of People Operations.
From onboarding to offboarding, software licence allocation to office environments, you'll keep the foundations running that let our teams do their best work.
This is a high ownership, cross-functional role, working closely with Leadership, Finance, and regional teams across all levels, combining strong individual contributor execution with a developing commercial and process mindset, proactive in owning creative ways to move past blockers.
- Your responsibilities
- Administer the IT asset lifecycle - procurement (laptops, monitors etc), provisioning, tracking, returns, redeployment, and disposal - keeping the asset register accurate across all regions.
- Administer Saa S licences, with allocation and de-allocation tied to onboarding and offboarding workflows.
- Track vendor and licence spend; flag redundancy, unused licences, and upcoming renewals for review.
- Manage day-to-day vendor relationships, escalating renewals, negotiations, and cost decisions to the Head of People Operations.
- Support tool consolidation across acquired entities, executing migration and clean-up tasks under direction.
- Maintain and improve Employee Wiki pages covering IT processes, tool management, asset records, and workflow documentation.
- People Experience & Support
- Deliver seamless onboarding and offboarding (Hi Bob is our HRIS system) from a workplace, tech stack, asset, and logistics perspective.
- Work with us to improve workflows within your scope to enhance efficiency and employee experience.
- Partner with People Ops to monitor and act on feedback from onboarding surveys, pulse checks, and team input.
- Once settled, take on more ownership of the planning, budgeting, and delivery of London social events and team activities, coordinating with regional leads to support social events in other offices.
- Deliver projects end to end, with guidance where needed, to support initiatives that improve the employee lifecycle from a systems and process lens.
- London and Regional Offices + Workspace Management
- Deliver core workplace operations reliably - prepared for client visits, day-to-day running of the London office - keeping it safe, stocked, and welcoming.
- Manage day-to-day relationships with regional office providers within agreed terms.
- Support health & safety compliance and contribute to an excellent workplace experience across all locations.
- Maintain the lease register, proactively flagging break clauses and contract end dates to the Head of People Operations.
- Track office budgets and support procurement processes.
- Identify opportunities to streamline operations and reduce manual tasks within your scope.
- Compliance & Risk Management
- Support ISO 27001 and SOC 2 audits by supplying asset, access, and provisioning evidence, plus policy acceptances, to the Infosec team.
- Maintain internal policies, ensuring employees complete assigned tasks in the HRIS.
- Develop and maintain internal documents, process guides, and up-to-date policy documentation on the Employee Wiki.
- Standardise templates for global use, ensuring consistency, accuracy, and accessibility.
- Implement and improve internal processes within your scope, escalating more complex changes to the Head of People Operations.
Essential skills/experience
- Experience from People Operations, HR administration, workplace, or IT operations, from a scaling business environment, circa 150+ employees.
- Hands-on experience with IT asset administration, provisioning, and software licence management; comfortable learning new tools.
- Working knowledge of compliance practices including GDPR, health & safety.
- Naturally process and progress minded - you implement and improve processes within your scope and enjoy simplifying the complex, bringing in support from more senior colleagues when needed.
- Organised, excellent attention to detail, and a commitment to data integrity.
