Who is Sedgefield Racecourse? One of the country's friendliest racecourses, with a reputation for a warm, relaxed atmosphere. Set in the beautiful Durham countryside, Sedgefield Racecourse hosts 20 fixtures over the year and is also available for venue hire.
About the role: The Business Coordinator will play a key role in supporting the commercial and administrative operations of the racecourse, ensuring the smooth delivery of both racing and non-racing business activities. Acting as the primary on-site point of contact, the role will liaise closely with the regional sales hub, delivery teams, and clients to coordinate commercial packages from initial enquiry through to final delivery. This includes ensuring clear communication, accurate information flow, and a high standard of client service throughout the process.
Working in partnership with the General Manager, the Business Coordinator will support all site-based commercial activity, including representing the venue, conducting show-rounds, and coordinating non-central and local suppliers. The role will also be responsible for ensuring all site-specific sales and marketing collateral is available, up to date, and presented professionally, alongside maintaining and updating relevant systems and records. This role is office-based for 24 hours per week, worked over 4 days out of 5. The anticipated working pattern is Tuesday to Friday, 9:00am-3:00pm, although flexibility can be discussed for the right candidate.
Responsibilities for the successful Business Coordinator include (but are not limited to):
- Represent the racecourse in an appropriate and professional manner dealing with a variety of clients and requests.
- Act as the on-site coordination for delivery of restaurant, hospitality (race day) and EVH activity working closely with the sales hub and delivery teams.
- Acting as client liaison to coordinate final booking details with smooth communication to the delivery team.
- Acting as account handler for specific existing client business, used to dealing directly with the racecourse.
- Liaison with finance, final details to ensure accurate invoicing, ensuring before-the-day payments have been made.
- Work closely with operations and the delivery team to ensure accurate pre-race-day / pre-event setup and deliveries, briefing where necessary.
- Coordination of localised and group-wide sponsorship collateral provision and activation.
- Ensuring marketing collateral is appropriate, up to date and in good supply.
- Management of direct-to-site communication and flow of enquiry.
- Work with General Manager in representing the business to the local community.
- All business-related tasks within reasonable scope of the role.
The person we are looking for as a Business Coordinator has:
- Educated to A-level standard or equivalent. Business/event qualification preferred.
- At least 2 years working in a business or commercial coordination role, or as a business developer wanting to move into coordination.
- Highly organised, with the ability to manage multiple projects in a multi-stakeholder environment, to tight timescales.
- Client and account management experience.
- The ability and flair to showcase a site or an event for business show rounds.
- Proven experience in working with multiple teams, coming together to provide a high-quality service acting as the point-person on-site to ensure high-quality service delivery.
- Numerate, with good IT skills including MS Office products.
- Affable and presentable, with experience in working with high-value clients, with a proven ability to engender trust and respect.
- Self-starting and tenacious, with a can-do attitude turning your hand to any reasonable project or activity.
- Previous effective sales experience an advantage.
