Business Support Administrator

We are looking for a motivated, organised and proactive Business Support Administrator to provide essential administrative and departmental support to the Quality & Compliance Manager, HR Manager and other Senior Managers onsite. The role contributes to the smooth functioning of the business by supporting quality, compliance and general administrative activities across multiple sites.

Hours: 40 hours a week – 9am – 5:30pm Monday to Friday

Reports to: Quality & Compliance Manager (Q&C Manager).

Location: Aston Down (with frequent travel to our other Gloucestershire sites and local suppliers; occasional travel to London and Chatham)

Salary: £28,000 – £29,500 per year, dependent upon experience

Responsibilities

Quality & Compliance

  • Provide assistance to the Q&C Manager on tasks and projects related to the Quality & Compliance Department, inclusive of on‑site internal department quality and compliance auditing.
  • Assist with the upkeep and administration of internal, client, supplier and authority required compliance paperwork, visits and systems.
  • Proactively assist the Q&C Manager with onsite and operational quality improvements and monitoring.
  • Provide in‑person administrative support during compliance and quality training sessions for staff on various sites (inductions, business continuity sessions, quality improvement sessions, standard annual training and ad‑hoc sessions).
  • Assist with the administration of improvement logs and associated actions and reviews.
  • Document creation and editing of documents on demand to a high standard using MS programmes.
  • Supplier review administration (including sourcing & quotations), quotation attendance and management, and carry out or assist with on‑site and off‑site supplier audits and reviews.
  • Proactively update and assist in the review of documentation within the Business Management System (BMS), ensuring that the latest versions of documents are available to both staff and suppliers/clients as appropriate – including updating notice boards and ensuring all on‑site information is in place and up to date (visitor books, compliance licence displays, OH&S information – fire, emergency procedures etc.).
  • Dairy and audit schedule management for Q&C tasks and activities.

HR Administration

  • Provide administrative support to the HR Manager on all aspects of the employee lifecycle: recruitment, onboarding, changes and offboarding.
  • Maintain accurate, confidential electronic and paper employee records, including updates to the HR Database.
  • Coordinate all training needs for the business (including booking, delivery and evidencing attendance and certification).
  • Respond to routine employee queries and provide on‑site assistance with the HR Database training or any other matters.
  • Provide support to the HR Manager in organising staff events (e.g. lunches, staff parties, etc.).

General Support for Senior Management

  • Prepare meeting agendas, take minutes and produce reports and presentations as required.
  • Complete general administration duties, such as filing, photocopying, scanning and document organisation and display as required.
  • Send emails and organise calls and meetings as required by the senior management team.
  • Provide administrative assistance to OH&S and Finance for specific projects or during periods of leave or increased workload.

What We’re Looking For

  • Strong and demonstrable experience within a general business administration role.
  • Full driving licence and access to a vehicle; due to the remote location of our sites and travel requirements during the working day.
  • Experience or a good working knowledge of business quality and compliance procedures, particularly of ISO standards.
  • Strong proficiency in MS Office programmes such as Excel, Word, PowerPoint, Outlook and database systems.
  • Ideally HR administration/database experience.
  • Excellent interpersonal skills and strong written communication for emails and documentation updates.
  • High level of attention to detail, accuracy and the ability to manage confidential information appropriately at all levels.
