We're looking for a sharp, organised Sales Administrator who takes real ownership of their work, communicates brilliantly, and genuinely cares about getting the details right. Secret Smokehouse produces arguably the best smoked fish in the UK. You'll find us on the tables of The Ritz, Fortnum Mason, and some of London's most celebrated Michelin-starred restaurants - and we do it all from an arch in Hackney since 2016.

The Role
As Sales Administrator, you're the commercial backbone of day-to-day operations. You'll own the full sales cycle - from the moment an order comes in across any of our channels, right through to dispatch, invoicing, and payment reconciliation. You'll be the first point of contact for our wholesale and online retail customers, and the person who makes sure nothing falls through the cracks.
This is a varied, hands-on role in a fast-moving business. No two days are identical, the pace is real, and doing it well makes a direct and visible difference.
What You'll Be Getting Up To
- Monitoring all sales channels - wholesale, retail, email and phone - for incoming orders and logging them accurately in our order management system
- Checking every order for accuracy across product, pricing, sales terms and delivery requirements
- Scheduling orders for delivery by region, keeping our logistics running smoothly and on time
- Invoicing customers, sending statements of account, and following up on payment reminders
- Supporting the dispatch of retail orders, including creating shipping labels
- Maintaining clean, accurate sales records and producing reports for senior management
- Responding to customer queries and complaints with efficiency and professionalism
- Issuing credit notes where required and reconciling customer payments against invoices
- Taking ownership of Accounts Receivable - keeping it accurate and up to date
We're Looking For
You don't need to know your gravlax from your pastrami. You do need to be:
- Highly organised, with the ability to multitask, prioritise, and stay on top of a busy workload
- Detail-obsessed - accuracy matters in every order, every invoice, every record
- A strong communicator, both written and verbal, with a professional and warm manner
- Confident working independently and as part of a team
- Experienced in an administrative or sales support role, with solid knowledge of order management or similar systems
- Someone who takes pride in their work and does the job properly, every time
Familiarity with accounts receivable or invoicing processes is a real plus. Experience in food, hospitality, or wholesale is a bonus - but the right attitude and a sharp eye for detail will always matter more.
