Secret Smokehouse is an artisan producer of the finest smoked fish in the UK. We're a small, passionate team who care deeply about our craft and our customers. We're looking for a highly skilled and professional Sales Administrator to join us and become the backbone of our sales operations.
The Role
As our Sales Administrator, you'll be the central hub of our sales process, managing the complete order journey from first enquiry through to payment. You'll ensure our customers receive exceptional service while keeping our operations running smoothly and efficiently. Prior experience within the hospitality sector here in London is an advantage but not essential.
What You'll Do:
- Order Management
- Monitor all sales channels (wholesale, retail, email, phone) and accurately enter orders into our order management system.
- Verify orders for correct products, pricing, terms and delivery details.
- Schedule & manage deliveries by London area to optimise our dispatch operations.
- Manage online inventory across B2B and B2C platforms.
- Respond promptly to customer queries and complaints with the highest level of professionalism and care.
- Manage & update our CRM.
- Keep customers informed of any order discrepancies or changes.
- Process credit notes when required.
- Occasionally meet wholesale clients face-to-face in central London.
- Invoice customers accurately and on time.
- Send statements and payment reminders.
- Reconcile customer payments with invoices.
- Manage accounts receivable processes efficiently.
- Assist with B2B and B2C dispatch including creating shipping labels.
- Maintain comprehensive sales records.
- Generate weekly reports for senior management on wholesale accounts.
- Chair and provide regular weekly meetings updating the MD and GM.
