Hybrid role with three days a week in our London office, with occasional travel to Edinburgh or Bath when needed.
The role involves supporting the smooth running of the business through excellent coordination, organisation and operational support. We’re looking for someone proactive, adaptable and highly organised who enjoys making things happen behind the scenes and keeping teams operating effectively.
You’ll join a collaborative, fast‑moving environment where no two days look the same. The Chief of Staff function plays a key role in enabling the wider business, supporting leadership priorities, coordinating strategic activities and helping teams operate efficiently. This role offers broad exposure across the organisation, close interaction with senior stakeholders and the opportunity to develop into wider operational or strategic roles over time.
On a typical day you will be:
- Coordinating EXCO meetings, leadership sessions and recurring business meetings
- Organising workshops, offsites and commercial team sessions across multiple stakeholders
- Managing meeting logistics including room bookings, catering, travel and accommodation
- Supporting board meeting coordination and governance administration
- Handling operational and administrative tasks that help the business run smoothly
- Coordinating with internal teams and external partners to manage schedules and logistics
- Maintaining trackers, actions and follow‑ups to ensure strong operational execution
- Supporting process improvements and helping improve ways of working across teams, through automation and enablement of great experience in every interaction.
This role’s for you if:
- You’re highly organised with excellent attention to detail and strong follow‑through
- You’re confident writing professional communications and interacting with a range of stakeholders
- You’re proactive, positive and comfortable managing multiple priorities in a fast‑moving environment
- You’re happy rolling up your sleeves and supporting a wide variety of operational and administrative tasks, and finding ways to automate them with AI or other tools
- You’re comfortable working independently, dealing with ambiguity and figuring things out when needed, while maintaining outstanding experience in every interaction
- You have experience in a role where you’ve helped others stay organised, operate effectively and deliver a great experience.
We’re less focused on specific backgrounds or career paths, and more interested in your work ethic, curiosity and drive to make a meaningful impact in a scaling business. You have strong stakeholder management and communication skills. Experience working in a startup, tech or fast‑paced environment is desirable. Familiarity with tools such as Microsoft suite, Slack, Outlook, Atlassian suite, HubSpot, ChatGPT (or another AI agent) is desirable.
What makes this role exciting:
- You’ll get exposure to senior leadership and strategic decision‑making across the business
- You’ll be part of our AI transformation journey by enabling automation of manual processes across the business
- You’ll help create a brilliant experience for colleagues, customers and prospective customers through clear communication and thoughtful coordination.
- You’ll have broad variety and visibility across multiple teams and functions.
- You’ll have the opportunity to shape and evolve the role over time based on your strengths and interests.
- You’ll have clear development potential into broader operations or Chief of Staff‑type responsibilities
- You’ll join a collaborative, supportive team with ambitious growth plans.
This role isn’t for you if:
- You’re looking for a highly traditional EA role. This position is broader, more flexible and includes a mix of coordination and administrative responsibilities beyond classic executive support
- You see practical admin tasks as beneath your role. Success here means being equally happy supporting important meetings and ordering the sandwiches when needed
- You prefer working in a structured environment and require a lot of top‑down direction. This role suits someone who can adapt and help where needed in a growing business
- You struggle with accuracy or attention to detail. The role involves communications and logistics where mistakes can have a real impact
- You’re not comfortable working in a fast‑paced environment. Our speed and scalability are what set us apart; you need to be able to act quickly and think on your feet.
What’s in it for you:
- A salary between £35,000 and £45,000, dependant on experience, reviewed annually
- 27 days holiday plus bank holidays (some can be flexible), a day off on your birthday and three days per year for dependant leave (full‑time)
- Two volunteering days per year
- Option to work abroad for up to six weeks a year
- Secclbrate – a recognition programme that offers a mix of flexible rewards including extra pay, additional holiday and increased learning budget
- Length of service award – one month paid sabbatical at eight years
- 6% employer pension contribution, and life assurance
- Private medical insurance with AXA Health
- Enhanced parental leave
- MacBook and up to £500 home office set up budget
- £750 per person learning budget
- Health and wellbeing initiatives including free therapy via Wellness Cloud, mental health support via Headspace
- Strong financial wellbeing focus including access to Octopus Money, Octopus Share Incentive Plan and will writing offering via Octopus Legacy
- Perkbox – Flexi‑points giving you a range of discounts and perks including free weekly coffee, gym and retail discounts
- Access to initiatives like Cycle to Work and Octopus Electric Vehicle Leasing
